Job Description

The Executive Secretary to the General Manager (GM) is responsible for providing comprehensive executive-level administrative and secretarial support to ensure the efficient operation of the GM’s office. This role involves high-level communication, discretion, time management, coordination, and organizational skills. Manage and circulate important and confidential documents through incoming and outgoing communication, both internally and externally.

  • Manage the General Manager’s calendar, schedule meetings, appointments.
  • Prepare and edit correspondence, reports, memos, agendas, presentations, and meeting minutes with precision and confidentiality.
  • Ensure the GM is well-prepared for meetings and has all necessary documents and information in advance.
  • Coordinate internal and external communications on behalf of the GM.
  • Serve as a liaison between the GM and department heads, clients, partners, and external stakeholders.
  • Organize and maintain filing systems (electronic and physical) for easy access to important documents.
  • Take accurate meeting minutes and follow up on key actions and decisions.
  • Coordinate and support company events or executive gatherings as required.
  • Handle incoming calls, emails, and correspondence with professionalism and prioritize urgent matters.
  • Ensure all communications and documentation are handled with strict confidentiality and discretion.
  • Prepare monthly reports, executive summaries, and briefing materials for strategic decisions.
  • Monitor office budgets, process expense reports, and manage procurement for the executive office.
  • Support special projects, initiatives, and presentations on behalf of the GM.

Qualifications

We are looking for an enthusiastic individual with a proven track record of success and professional experience in all aspects of office administration.

  • Bachelor’s degree or Advance Diploma in Business Administration, Hospitality Management, or related field.
  • Minimum 3 years of experience in a similar executive-level secretarial or administrative role.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent verbal and written communication skills.
  • Exceptional organizational and time management abilities.
  • Ability to multitask, prioritize tasks, and meet deadlines under pressure.
  • High level of discretion and integrity in handling sensitive and confidential information.
  • Strong interpersonal skills with the ability to work well with senior executives and stakeholders.
  • Professional demeanor and a proactive, can-do attitude.
