Job Description
The Executive Secretary to the General Manager (GM) is responsible for providing comprehensive executive-level administrative and secretarial support to ensure the efficient operation of the GM’s office. This role involves high-level communication, discretion, time management, coordination, and organizational skills. Manage and circulate important and confidential documents through incoming and outgoing communication, both internally and externally.
- Manage the General Manager’s calendar, schedule meetings, appointments.
- Prepare and edit correspondence, reports, memos, agendas, presentations, and meeting minutes with precision and confidentiality.
- Ensure the GM is well-prepared for meetings and has all necessary documents and information in advance.
- Coordinate internal and external communications on behalf of the GM.
- Serve as a liaison between the GM and department heads, clients, partners, and external stakeholders.
- Organize and maintain filing systems (electronic and physical) for easy access to important documents.
- Take accurate meeting minutes and follow up on key actions and decisions.
- Coordinate and support company events or executive gatherings as required.
- Handle incoming calls, emails, and correspondence with professionalism and prioritize urgent matters.
- Ensure all communications and documentation are handled with strict confidentiality and discretion.
- Prepare monthly reports, executive summaries, and briefing materials for strategic decisions.
- Monitor office budgets, process expense reports, and manage procurement for the executive office.
- Support special projects, initiatives, and presentations on behalf of the GM.
Qualifications
We are looking for an enthusiastic individual with a proven track record of success and professional experience in all aspects of office administration.
- Bachelor’s degree or Advance Diploma in Business Administration, Hospitality Management, or related field.
- Minimum 3 years of experience in a similar executive-level secretarial or administrative role.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent verbal and written communication skills.
- Exceptional organizational and time management abilities.
- Ability to multitask, prioritize tasks, and meet deadlines under pressure.
- High level of discretion and integrity in handling sensitive and confidential information.
- Strong interpersonal skills with the ability to work well with senior executives and stakeholders.
- Professional demeanor and a proactive, can-do attitude.
