We are looking for an experienced Office Manager to join our growing team!

Front Office Support:

  • Performs routine office tasks necessary for the operations and presentation of the overall office (including but not limited to ensuring Carlsbad office conference rooms are maintained)
  • Order/Manage all North American office supplies, inventory, and vendors in coordination with Site Managers and local office staff
  • Assist in tracking facilities budget, managing, processing, and reconciling facilities-related vendor invoices
  • Lead and primary point of contact with 3E real estate, 3E leadership, Commercial real estate team, Legal, and Contracting on office leases (tracking and notifying on upcoming lease renewals and renovations)
  • Lead and primary contact for resolution of facility-related matters in the Carlsbad, CA office. Led and remote support contact for the resolution of facility-related matters in other North American offices
  • Work with local Site Managers and office Property Management or vendors to ensure office maintenance matters are supported and resolved promptly

Prepares and processes outgoing mail

  • Ensures accurate weighing, coding, sorting, affixing postage, properly addressing, and preparing certified/overnight/return receipt mail.
  • Sorts and distributes mail in appropriate boxes daily.
  • Signs for deliveries, when necessary, logs in, and notifies recipients.
  • Ensures postage system is operational and keeps Finance informed of postage needs.
  • As needed, calls Pitney Bowes to update the postage balance and obtain updates to the postage machine software.
  • Maintains knowledge of current postal requirements and services frequently used by the organization

Event Planning

  • Event planning and setup support.  Lead and support Carlsbad office event notices and event setup (chairs, tables, office email notifications, calendaring). Remote event planning and setup support for North American offices in partnership with Site Managers.  Participate in planning and assisting in event execution, including all-hands, offsites, and office morale events

Facilities Management

  • Manage vendor relationships for the Carlsbad office: Plumber, HVAC, property management, document shredding, janitorial service, coffee vendor, vending machines, etc.
  • Address any facilities needs as they may arise, either with property management or with a vendor directly
    • Follow up on all issues to guarantee completion
    • Maintain a close working relationship with property management

Qualifications

  • Bachelor’s degree or related years of experience in the field required
  • Minimum 3 years of related work experience
  • High levels of operational process and task execution competence with an organized and hands-on approach
  • Demonstrated planning and organization skills
  • Positive attitude and excellent interpersonal skills
  • Ability to communicate effectively across different teams (internal and external)
  • Must be a team player, proactive, and able to multitask
  • Must be able to work well under pressure and within short time constraints
