Job Description

A fantastic opportunity has come out for an Administrative Assistant to join the Maplecroft team in London or Bath. In this position you will be responsible for providing comprehensive administrative support to various teams, primarily in the UK but also internationally, and to collaborate with colleagues to ensure efficient and effective support service is provided.

This is a temporary contract role but with the potential to move to a full-time position for the right candidate.

Main Responsibilities

  • Provide general administrative support to teams across the business
  • Scheduling meetings
  • Formatting documents and presentations
  • Maintaining electronic filing systems, updating records, managing holiday logs, and fielding incoming phone calls.
  • Organises travel and accommodation (including flights, hotel accommodation, taxi bookings, office notification forms) in line with company policy
  • Process expense claims in a timely manner and within company policy
  • Provide support for specific projects as required by the business
  • Coordinate new starter schedules and on-boarding process for allocated teams
  • Work closely with other Administrators to ensure alignment, share best practice and provide consistent comprehensive administrative support to the business
  • Provide administrative cover for other Administrators, as required

Qualifications

  • Competent with Microsoft Office applications – Excel, PowerPoint, Word, SharePoint, Teams
  • Experience using travel booking and expense management systems (eg. Concur)
  • Highly organised with the ability to multitask, manage conflicting priorities and focus on detail
  • Diary management skills across multiple time zones
  • Excellent communication skills (both written and verbal)
  • Experience working in a fast-paced, internationally focused work environment
