Job Description

The A Player Data Collections Specialist is the following: 

  • Clear, concise and professional: The successful Data Collections Specialist interacts with building departments in a professional manner that reflects our core values at BuildFax. 
  • Relentless: This individual lives and breathes to collect building permit data. They persevere and do not take no for an answer.  They are always pushing to acquire the highest quality data available.  
  • Resourceful negotiator:  Passionately finds ways over, around or through barriers.  Can think on their feet to overcome objections.  Shows bias for action.  A results-oriented "doer." 
  • Self-motivated:  Arrives on time and feels a deep sense of personal satisfaction when the job is done. Gets a jump on priority tasks and consistently shows initiative. 
  • Relationship owner: The Data Collections Specialist takes ownership of each jurisdiction they are collecting data from. They have a personal interest in every step of the process and take pride in the quality of the outcome.  
  • Talented multi-tasker: This individual will maintain dozens of collection efforts simultaneously. They will prioritize tasks effectively and manage their time efficiently.  
  • Maintains Positive Attitude:  This person keeps a smile on their face despite challenging interactions with building departments and is able to bounce back and focus on the next task. 

The A Player Data Collections Specialist does the following: 

  • Collect building permit data: Contact building departments across the country to obtain electronic copies of building permit data.  Hone requests to be as concise as possible to facilitate a quick turnaround.  Responsible for developing long-term relationships that allow data to be obtained in a reliable, cost-effective manner. 
  • Analyze building permit data: Conduct a preliminary audit of data to ensure that it meets specific quality requirements (electronic data covers the maximum number of years, includes all available fields and is in an optimal format).  Address identified problems proactively.  
  • Practice exceptional organizational techniques: Record every pertinent piece of information using customer relationship management software. This includes details about email and phone interactions, as well as keeping track of contact information.  
  • Strategize about tactics:  Brainstorm with coworkers to find solutions to overcome obstacles. Flexes their research and critical thinking muscles to find creative new approaches to get the job done. 
  • Continually improve: Identify steps in the process that could be improved. Share ideas with team members and management in a continuous effort to optimize our performance.  
  • Adept with technology:  Able to successfully navigate office tools like Sugar CRM, e-mail, word, excel; good internet search skills; knowledgeable about various file formats.

  • Education: 4 years of a college degree or similar  
  • Full-Time Employment: Ability to work as a full-time employee
