Job Description

Principal Responsibilities and Essential Duties:

The Recruiting Coordinator role is pivotal in helping provide a best in class recruitment experience by providing a “white glove” service to candidates and hiring managers.   This role acts as a TA ambassador in this highly visible role and takes ownership in supporting the Talent Acquisition team in scheduling a high-volume of candidate interviews and ad-hoc sourcing to identify potential candidates.

  • Plan and coordinate end to end interview itineraries across multiple time zones including meeting logistics, interview rooms, technology, etc.   
  • Send pre-interview materials to candidates (as requested).  These are typically time sensitive.
  • Generate and send interview invites to interview panelists and confirmation details to candidates with 100% accuracy.
  • Reschedule interviews/adjust itineraries (as requested) and resend interview invites and candidate confirmations.
  • Communicate via email and/or phone with candidates and interview panelists to gather additional availability when needed.
  • Dependable and knowledgeable first point of contact for all candidate interview related inquiries.
  • Schedule wrap-up meetings/feedback sessions for interview panels after interview (as requested)
  • This role is also responsible for ad-hoc sourcing which will include searching social networks, niche platforms and professional sites to identify potential candidates, sending recruiting emails, helping with candidate phone screens as needed and logging candidate information in our ATS. 

Qualifications

  • MS Outlook and administrative or scheduling experience is required.  Exposure to recruitment processes are highly preferred.
  • Knowledge of sourcing techniques.  Prior experience using social media networks (e.g. LinkedIn) to look for and connect with potential candidates is strongly preferred.
  • Advanced communication (written and verbal) and organizational skills.  Must have excellent phone manner.
  • Ability to juggle multiple, complex and constantly changing calendars in Outlook.
  • Proficient at coordinating interviews across various locations, different time zones (domestic & international); exercising time zone discretion and setting up conference call details.  
  • Ability to interact with all levels of employees and candidates is essential. 
  • Ability to learn new systems, tools and processes. 
  • Communicate professionally and maintain a high level of confidentiality at all times while managing sensitive data.
  • Can-do attitude in welcoming new challenges for improving our scheduling process. 
  • Strong performer with a bias for action. The ideal candidate is a system-savvy problem solver who thrives in a fast-paced environment and prides themselves on getting things done with excellence and timeliness.
