Job Description

We are looking for an Executive Assistant to join BuildFax in our Austin, TX office.  BuildFax recently became a part of Verisk's ISO business.

This is an excellent opportunity for a driven, bright individual who wants to gain experience on the front lines of a growing tech company. We are looking for a quick-thinker who will be able to execute a number of tasks with confidence. The candidate should be comfortable communicating with the executive team, board members, clients and senior management. We are a fun, energetic, high growth company looking for the right person to fill a full-time position in our downtown Austin office. 

  • Execute Team Support: Work directly with C-suite on scheduling, meeting management, travel coordination and special projects. 
  • Maintain a Smoothly Functioning Office: Ensure office and staff have the resources on a daily basis to be successful. 
  • Solves Logistical Problems: In a fast-paced environment to ensure timely and efficient results. 
  • Facilities/Office Management: Serve as the primary contact for all facilities issues (maintain kitchen supplies, parking, maintenance etc.). 
  • Coordinate IT Support: Responsible for trouble shooting and coordinating with the appropriate service technicians to resolve any office related IT issues. 
  • Vendor and Business Services Management: Primary contact for vendors and contracted services. 
  • Prepare Written Materials and Reports: He/She creates reports, executive summaries, briefing papers, meeting minutes, correspondence and other documents. 
  • Organize Meetings/ Occasional Event Planning: Manage logistics for meetings, travel and special events. 

Qualifications

The A Player Executive Administrative Assistant is: 

  • Efficient: This person demonstrates excellent planning, organizing, and time/work management skills. 
  • Works Well Under Pressure: Can keep a cool head. He/she can jump back and forth between tasks as necessary.
  • Strong Editor/Attention to Detail: The A-Player has strong grammar skills and is an excellent editor. 
  • Hyper Organized: The A-Player Manager is able to keep multiple projects and subject areas highly organized. 
  • Skilled Communicator: Comfortable and adept at communicating with varying audiences from the executive team to accounts payable. 

Other Qualifications 

  • Education: 4 years of a college degree or similar. 
  • Full-Time Employment: Ability to work as a full-time employee. 
  • Location: Ability to work from our Austin, TX office.
