Job Description

Role Purpose

The role holder will principally be responsible for providing general administrative support to the Company’s research team based in its Beijing office. The role holder must, therefore, be resourceful and possess a great deal of initiative in order to identify and competently handle a wide range of administrative matters.

Main Responsibilities

The Administrator will be required to perform job responsibilities as directed by his or her direct supervisor or other more senior staff members in a manner that meet their standards and expectations. The main job responsibilities include the following.

  • General management support for Research team people, including filing, faxing, photocopying, printing and binding of presentations, ordering stationery, distributing mail, organising couriers, answering telephone calls , checking emails and business cards printing .
  • Travel arrangements – booking flights, accommodation and currency through external travel agent, printing itineraries, booking taxis and issuing invitation letter etc.
  • Processing cash , travel expense claims and other payment for the team
  • Supporting the team in set-up and use of Video-conference and SmartBoard facilities
  • Planning and organising internal and external meetings (booking rooms, refreshments and equipment)
  • Office reception duties, meeting room booking, welcoming visitors , new staff onboard preparation etc
  • Work with Finance China/Singapore on various accounting-related matters
  • Provide the necessary support to Marketing event preparation & Salesforce input
  • Provide support within Administrator team

Qualifications

Knowledge, Skills and Experience

The Administrator will be required to possess knowledge, skills and experiences that meet the standards and expectations of his or her direct supervisor or other more senior staff members. These knowledge, skills and experiences include the following.

The successful candidates should be confident, outgoing and professional with at least one or two years’ experience of working in a support/admin role. The role will ideally suit a bright., enthusiastic, flexible,  person with a ‘can do’,  strong ownership - and team playing attitude and who can work with minimal supervision. Excellent organization skills , strong communication skills , attention to details and the ability to work with limited supervision are essential to succeed in this role as well as excellent people skills, particularly in the use of core MS products.
