Job Description

Role Purpose

The successful candidate will support the Boston based office. You will contribute to the smooth operation of the team in a variety of ways, including but not limited to the responsibilities below. Entry level candidates are encouraged to apply.

Main Responsibilities

  • Schedule and organize internal and external meetings; coordinate with clients to set up; book rooms, catering and equipment; set up video-conference and web calls
  • Track client contacts and consulting opportunities in Salesforce and set up project codes
  • Organize team events and training
  • Support internal and external visitors
  • Assist with recruitment process for new hires
  • Assist with on-boarding new hires, including training on employee systems such as travel, expenses, timesheets
  • Handle travel arrangements for select team members, including  visas, flights, accommodation and ground transport
  • Compile expense reports for select team members
  • Interface with Finance and Consulting Operations teams to answer questions and ensure compliance with processes
  • Assist with compiling information (e.g. travel expenses) to invoice clients
  • Assist with compiling documentation for contracting with large companies
  • Assist with setting up contracts with vendors, associates and subcontractors
  • Extract operational reporting from Salesforce and other systems
  • Handle office management, e.g. office supplies, coordination with Facilities and Tech
  • Occasionally cover the reception desk

Qualifications

Knowledge & Experience Required

  • Entry level applicants and recent college graduates are encouraged to apply
  • Interest and passion for renewable energy preferred
  • Candidates should be a professional with experience delivering administrative support to large teams
  • 0-2 years of experience in an administrative role preferred
  • Bachelors degree required
  • Excellent organizational, interpersonal and communication skills are essential,  as well an ability to adapt to tight and changing deadlines
  • A thorough working knowledge of Microsoft Office, Outlook and Salesforce is preferred
  • Attention to detail and accuracy
  • Ability to work independently with minimal supervision
  • Spanish language skills strongly preferred
