Job Description

Within the IS&T Project Management Office (PMO) team composed of 3 people and reporting to the PMO director, you will be responsible for providing support and assistance to various projects delivered by IT.

Being a facilitator, you interact not only with all IT teams and Project Managers (PM) but also with Contract Management team, Procurement team and other HQ support teams. This cross-functional interaction enables you to ensure effective communication and alignment across the various teams involved in the successful execution of IT projects.

The PMO can work at project level and/or project portfolio management level (PPM).

At project level, the PMO can assume one of the two roles:

  • Provide support and assistance to Project Managers (PMs) by contributing to various tasks and activities within specific projects.
  • Take on the role of the Project Manager itself, being directly responsible for leading and managing individual projects.

At the project portfolio level, the PMO can support the projects’ selection process.  Additionally, the PMO leverages its cross-functional visibility and oversight to monitor and track the progress of ongoing projects across the organization's project portfolio.

The PMO also provides expertise on project management and tools.

In our context, the PMO also supports the maintenance of the organization’s application portfolio. To accomplish this, the PMO works in close collaboration with the Enterprise Architect, who is a member of the PMO team. The Enterprise Architect provides valuable insights and guidance to ensure that the application portfolio aligns with the organization's overall architecture and technology roadmap.

As a Project Manager Officer, your main tasks will be:

- Project Support

One of the core responsibilities of the Project Management Office (PMO) is to offer comprehensive support and assistance to Project Managers (PMs) across various aspects of project execution. This support encompasses a wide range of tasks and activities, including but not limited to:

  • Project Planning: Assist PMs in developing detailed project plans, defining scope, tasks and timelines, resource requirements, and establishing project baselines.
  • Task Monitoring and Follow-up: Collaborate with PMs to track and monitor the progress of project tasks, ensuring timely completion and addressing any potential delays or roadblocks.
  • Risk Management: Support PMs in identifying, assessing, and mitigating project risks, implementing risk response strategies, and maintaining risk registers.
  • Budget Management: Provide guidance and oversight to PMs in managing project budgets, tracking expenditures, and ensuring adherence to financial constraints.
  • Change Management: Assist PMs in evaluating and implementing changes to project scope, schedule, or requirements, following established change control processes.
  • Reporting and Communication: Support PMs in preparing and delivering project status reports, communicating progress, issues, and risks to stakeholders, and facilitating project meetings.
  • Meeting Organization and Documentation: Coordinate and facilitate project meetings, including scheduling, agenda preparation, and documenting meeting minutes and action items.
  • Provide support/expertise on project management tools (Google suite, Smartsheet…)

By offering this comprehensive support, the PMO plays a crucial role in enabling Project Managers to effectively execute projects, maintain control over project variables, and ensure successful project delivery while adhering to established methodologies, standards, and best practices.

- Project Portfolio Management (PPM)

  • Participate to the streams and engagement committee framework (preparation, participation, communication) for project selection
  • Develop a global vision of IS&T projects (and recurring activity) by monitoring progress, statuses, workload with team leaders or PMs
  • Develop, maintain and communicate reporting (dashboard/KPI) 
  • Provide visibility on teams’ ressources capacity
  • Maintain the global IT roadmap by consolidating team’s roadmaps

- Project methodology

  • Participate in the development & promotion of our project management kit (methodology, templates) with the rest of the PMO team

- Application portfolio

  • Collaborate closely with our Enterprise Architect to maintain and update our application portfolio (Gsheet & APM module in VeoNow)

Note that the above responsibilities may vary depending on the project and/or context.

The above tasks remain the priority. Then, and depending on the context and experience, part-time PM activity may take place if fitting with the above.

 

- Project Management (PM) on IS&T side

  • Help define project scope, goals and deliverables
  • Create and manage project plans (with schedule, activities, milestones)
  • Define tasks, required resources
  • Coordinate/support project teams
  • Monitor and report/communicate on progress of all project phases (inception, scoping, design, build, test, cutover…) 
  • Track deliverables and quality
  • Manage risks
  • Present to stakeholders reports on progress as well as problems and solutions
  • Follow up on budget
  • Manage change when needed
  • Foster partnership with customers/stakeholders/sponsors
  • Assess project performance (REX) after completion

Qualifications

You have an educational background in Information technology (master’s degree level) and a 5+ years experience in the field of IT PMO/PM?

You have good overall technical knowledge and competencies in project planning tools (Gsheet, smartsheet,...), Agile methodologies?

You are rigorous & synthetic, respectful, trustworthy with a positive attitude?

You have good communication skills, you are a team player and comfortable in a collaborative & multicultural environment?
