Job Description

At Vention, we believe in providing our employees with a great office experience and the Office & Comfort Manager is at the heart of this employee experience.  In this role, you will be responsible for ensuring the smooth day-to-day running of Vention’s office in Montreal. 

Responsibilities: 

  • Oversee and support all administrative duties in the office;
  • Manage office supplies inventory and place orders as necessary;
  • Maintain all office accounts and contracts including, but not limited to, utilities, IT functions, vehicles, phone contracts, etc.;
  • Ensure the office remains well maintained and secure, liaising with building management as required;
  • Responsible for any office construction or future office relocations (and liaising with vendors & internal IT team);
  • Perform receptionist duties: greet visitors, and coordinate mail shipping requests; 
  • Lead Vention Social Committee and  organizer for Vention events (Summit, Leadership retreat, Holiday party, etc)
  • Maintain & report on the office budget
  • Maintain a list of vendors & contacts for catering, event planning etc
  • Support new employee onboarding (email groups, slack channels, support for IT inventory, access cards) & deboarding process (return of equipment, IT access)
  • Identify opportunities for process and office management improvements, and work with People & Culture team to implement;
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining common calendars;

Qualifications

  • 5+ years of work experience in an administrative/office management role;
  • Must have exceptional attention to detail;
  • Strong organizational and time management skills, and ability to prioritize;
  • Must be a self-starter, fast learner, organized, professional, and able to collaborate with others;
  • Excellent communication and interpersonal skills in both English and French.
