Job Description
Finance and Office Admin is responsible for providing support to the Marketing team on Purchase Order (PO) and Non-Purchase Order (NPO) related invoices for payment and proactive administrative support to enhance departmental efficiency, productivity, and communication. This role ensures that all administrative tasks are handled in a highly responsive and confidential manner, facilitating smooth operations within the team. The Office Admin serves as a key point of contact for team members, assisting with various logistical and operational needs to support overall effectiveness.
- Onboarding of new non-trade related vendors with supply chain and master-data team
- Process non-trade related invoices (PO and Non-PO) via online tools, ensuring proper documentation and timely payment in compliance with internal control
- Communicate and coordinate instructions and business requirements with various departments
- Organize and maintain correspondence and records, efficiently tracking pending matters and ensuring compliance with legal requirements for conference registrations
- Manage accurate filing and storage of documentation (paper and electronic) and maintain tracking records (e.g., Gifts, Entertainment & Hospitality Register, travel schedules)
- Manage routine office administration tasks such as ordering stationery and consumables for Singapore Office
- Coordinate and manage logistic matters for overseas colleagues visiting Singapore Office
- Coordinate onboarding for new starters and proactively support other Team Assistants in event organization and administration
- Schedule and confirm appointments, arrange meetings, and manage travel arrangements, ensuring compliance with company travel policies
- Arrange logistics for conferences, quarterly management forums, and Board meetings, including venue booking, catering, and transportation
- Organize tele- and video-conferences and book necessary equipment using online tools.
- Participate in projects with other Team Assistants as needed
- Demonstrate behavior in line with health, safety, and environmental standards, while operating in a cost-effective manner
- Collaborate effectively with Executive heads, the Marketing team, peers, and relevant stakeholders to achieve business goals
- Perform other ad hoc duties as assigned to support organizational needs
Qualifications
- Diploma in Accounting or equivalent (preferred)
- Recognized secretarial qualification an advantage
Experience:
- 3 years in finance or administrative relevant experience
Technical knowledge(experience) required for role:
- Proven track record of experience in a role and context of similar complexity
- Familiarity with travel and expenses booking tools
- Strong organizational skills with the ability to prioritize and multitask - Strives for excellence
