Job Description

The Mendoza College of Business (MCOB) is seeking a collaborative, detail-oriented Facilities Administrator to manage daily operations for Mendoza and the Stayer Center for Executive Education. Serving as the primary operational point of contact across both facilities, you will partner closely with campus safety, maintenance, utilities, and leadership to ensure our spaces are safe, highly functional, well-maintained, and positioned to support the College’s academic and executive education mission.

Key Responsibilities:

Building Operations & Maintenance Oversight (40%)

  • Conduct daily walkthroughs of MCOB facilities to proactively identify and address immediate maintenance, cleanliness, and safety needs.
  • Serve as the primary administrative liaison to University service partners:
    • Building Services: Coordinate routine and specialized cleaning requests.
    • Lock Shop: Oversee building access systems and key management.
    • Utilities: Request HVAC adjustments and coordinate after-hours event support.
    • Facilities / Maintenance: Track routine and emergency repairs.
  • Submit, track, and manage all facility work orders through the University’s designation system (AiM).
  • Lead quarterly service review meetings with University Facilities, Utilities, and Building Services to evaluate quality of service and address operational trends.

Facility Access, Guest Services & Reservation Management (30%)

  • Manage building access control, including Irish1Card and physical key administration, across key College stakeholders.
  • Serve as the frontline facilities liaison providing welcoming, high-touch customer service to faculty, staff, students, visitors, and executive education guests.
  • Administer the MCOB room reservation process in accordance with College policies and guidelines.
  • Coordinate event readiness and support services (e.g., set-ups, Building Services, ushers) to ensure facilities are prepared for daily use and special events.

Capital Improvement & Renovation Project Support (15%)

  • Partner with the Facilities Program Director and Executive Director of Operations & Finance to identify renovation projects and plan cyclical maintenance schedules (carpet, paint, office furnishings).
  • Represent MCOB as the owner’s representative on small-scale projects, liaising with University Facilities, internal teams, and third-party contractors.

Student Team Supervision (5%)

  • Recruit, train, schedule, and evaluate student staff supporting facilities operations.
  • Oversee student worker maintenance of shared faculty, staff, and student lounges and assign daily operational tasks.

Policy Development & Administrative Governance (5%)

  • Maintain official guidelines, safety policies, and operating practices for Mendoza College facilities.
  • Proactively recommend policy updates to ensure space utilization remains effective, safe, and aligned with institutional priorities.

Qualifications

  • Education: Associate degree, or up to 3 years of completed college or technical school coursework.
  • Experience: 3 to 4 years of progressive administrative or facilities operations experience (experience in higher education or complex institutional environments strongly preferred).
  • Skills & Abilities:
    • Solid understanding of higher education facility operations, safety standards, space management, and work-order processes.
    • Exceptional customer service orientation with strong verbal and written communication skills.
    • Strong organizational and tracking skills using automated work-order tools (e.g., AiM or similar systems).
    • Proven ability to lift 50 pounds
    • Proven ability to manage student employees and collaborate effectively with diverse internal and external stakeholders.

Additional Information

Compensation: Starting at $65,000, commensurate with experience.
