Job Description

Performs clerical duties for the department, schedules surgical procedures, enters data into the computer system, and answers telephones. Orders and maintains office supplies. Works independently organizing records, maintaining and updating forms, and updating the scheduling process. Compiles monthly statistics. Interacts with physicians, offices, visitors, team members and patients.  Assists in the maintenance of a clean and safe environment.

 

  • Schedules all elective surgical procedures and provides the date and time of the posting within 72 hours of receipt.
  • Obtains completed surgical scheduling forms and enters the required booking information.  If information is incomplete or unclear, then contacts the Surgeon and or their Office team members to obtain the necessary information. 
  • Attempts to schedule similar types of cases in the same room to increase efficiency.  Utilizes the historical “cut to close” and historical “wheels in to wheels out” times when booking cases to accurately depict what is occurring in the OR rooms on the OR schedule. 
  • Communicates special equipment, instruments and supply requests to appropriate Service line team leads and the Day Charge Nurse. 
  • Refers conflicts and procedural questions to Perioperative Business Director or designee.
  • Communicates any changes affecting the next day’s surgical schedule to the posting and other members of the health team impacted by changes.
  • Acquires information about surgical procedures scheduled for the current day.  Takes the initiative to gain knowledge and self-educate on unfamiliar procedures.
  • Initiates phone calls as required.  Utilizes customer service skills and professionalism in all communications. 
  • Reports problems and resolutions of problems regarding patients, team members, visitors, etc. to team leaders and is able to recognize and respond appropriately to emergency situations.
  • Develops and promotes a constructive, positive atmosphere within the work area by demonstrating the ability to maintain cooperation with and assist fellow health team members.  Acts as a preceptor for new team members.
  • Assist and supports the front desk with answering phones, registering patients and other tasks as needed.
  • Performs other duties as assigned.

Qualifications

Education & Training:

  • High School Diploma or equivalency required
  • College degree preferred.
  • At least one (1) year clerical experience in a medical setting with computer experience is required.

  • Use in-depth knowledge of computers, printers and fax machines
  • Utilize good telephone technique and communication skills
  • Maintain a positive e and work under pressure

  • Adapt hours of availability to variable and changing needs of the hospital, including all shifts
