About the University of Maryland Medicine Philanthropy Team:

The University of Maryland Medicine Philanthropy (UMMP) team is a joint initiative uniting the fundraising endeavors of the University of Maryland Medical Center and University of Maryland School of Medicine. General Summary:

Under supervision of the Sr. Director of Finance and Development Operations, the Development Coordinator (DC) will receive, process, and receipt all gift information for contributors to the University of Maryland Medicine Foundation (UMMF). In addition, the DC will maintain and update the donor database [Blackbaud Raiser’s Edge NXT] and manage the way data is entered for prospects and contributors.

UMMF is the 501(c)3 that manages the fundraising operations for the University of Maryland Medical Center. All donations are processed through the University of Maryland Medical System Foundation, which serves as the primary fundraising entity for the University of Maryland Medical Center, UM Midtown and UM Rehab.

Donations to the University of Maryland Medical System Foundation allows the University of Maryland Medical Center to sustain important initiatives such as innovative research, upgrades to facilities and programs, leading-edge technology and enhancements to patient care, thus improving health in Maryland and beyond.

Donations are made to the University of Maryland Medical System Foundation (UMMSF) by cash, check, credit card, securities, payroll deduction, wire transfer or gift-in-kind. Donations are received via mail, phone, fax, M&T lockbox, wire transfer, through the University of Maryland Medical System website or in-person.

Principle Responsibilities & Tasks:

  • Gift Processing Summary
    • Accurately process all gifts, pledges, and pledge payments according to donor intent, adhering to policies and procedures. Enter gifts in Raiser’s Edge using batch processing, applying donations to the correct Fund and Appeal.
    • Process cash/check donations by remote scanner or deposit at M&T Bank and download lockbox donations from the M&T Commercial website.
    • Process credit card donations received by mail, phone, or online using Blackbaud Merchant Services and Luminate Online.Process stock donations by calculating stock value using the mean and handle recurring ACH donations by processing
    • credit card transactions for the Shock Trauma Life Partner Program.
    • Set up and process payroll deductions for UMMSF employees in collaboration with the Payroll Department.
    • Research obituary notices to process tribute gifts, create donor reports, and communicate intent to the family.
    • Verify and communicate with matching gift companies to resolve issues and ensure proper processing of gifts.
    • Compile quarterly lists of donors with upcoming or overdue pledge payments and send reminder notices.
  • Annual Tax Statements
    • Generate Annual Tax Statements for recurring gift donors and those making monthly pledge payments. Scan and upload supporting documentation of donor intent and acknowledgment letters to donor records.
    • Reconcile gift activity in Raiser’s Edge with bank activity to ensure all donations are processed. Create and mail tax receipts per IRS regulations (excluding online donations).
    • Provide necessary information to external auditors and communicate with donors to confirm or update intent and information.
  • Database Management
    • Research, enter, and maintain biographical information in Raiser’s Edge NXT, including creating new entity records for individuals, corporations, and foundations. Update contact information and research return mail for current addresses.
  • Queries and Reports
    • Prepare and share weekly and monthly gift detail reports with Foundation staff, including donor, gift, and batch information.
    • Develop queries to generate targeted lists and reports for staff needs.
  • Events
    • Provide on-site support for various special events, such as:
      • Maryland Half Marathon – assist with packet pick-up and day of event activities
      • Kernan Golf Tournament – process mobile-pay transactions for golfers who purchase a Mulligan and assist with check-in
      • Cancer Center Golf Tournament – oversee a hole-in-one hole and process mobile pay transactions for winner of auction items
  • Other Duties As Assigned

Qualifications

Education and Experience

  • Bachelor’s Degree in Accounting, Finance, or related field is preferred.  Four years’ of work experience in these fields or in donor/vendor relations may be substituted for the degree requirement.*
  • At least three (3) years’ experience in donor/vendor relations, payment processing, or a related field is also preferred.

Knowledge, Skills and Abilities

  • Excellent written and verbal communication skills required, including courtesy, resourcefulness and efficiency.
  • Strong computer skills; proficiency in Microsoft Office and at least two years’ experience working directly with Raiser's Edge fundraising software package is strongly preferred.
  • Maintains a high level of confidentiality and exercises good security protocols to protect donors’ personal and financial information
  • Demonstrated ability to work collegially in complex systems is required.
  • Excellent customer service skills and attention to detail.

*Experience used in lieu of a degree may not be counted toward work experience (i.e. Experience cannot be double counted.)

Salary Range: $54,371-$76,107
