Job Description

Under general supervision is responsible for the coordination of the workflow and administrative aspects of the BMT program. This includes administrative support to the BMT Program Director, assisting with the budget preparation, and credentialing and licensing. Assists with research protocol data.

Principal Responsibilities and Tasks

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

1. Coordinates the day-to-day office administration activities in support of the BMT program.

A. Acts as a liaison to other departments such as Facilities Management, Purchasing, Accounts Payable, Telecommunications, HELP Desk and Environmental Services.

B. Prepares budgets with the Director and works with Finance for formulations and/or final budget approval.

C. Provides meeting and conference support to the Director and faculty.

D. Orders office supplies.

2. Prepares reports as requested by the department Director.

3. Works with internal and external customers to ensure office needs are met and agreements are honored.

4. Provides research and administrative support to special projects, preparing data, reports, follow-up on projects and studies.

5. Maintains and supervises the maintenance of departmental files and records. Develops filing systems to suit department needs.

6. Assists with BMT research protocol development.

7. Responsible for the credentialing and licensing of attending physicians.

8. Attends various meetings as required. Participates on committees as directed.

Qualifications

Education and Experience

  • High school diploma or equivalency (GED) is required. Certification in medical office practices a plus.
  • Five years of progressively responsible clerical experience in a healthcare environment. Must possess thorough medical/legal knowledge regarding medical records and billing referrals.

Knowledge, Skills, and Abilities

  • Knowledge of a Cancer Center environment required.
  • Working knowledge of computer applications with experience utilizing word processing and
  • spreadsheet software such as Microsoft Word and Excel.
  • Requires excellent communication, interpersonal and organization skills.
  • Ability to demonstrate knowledge and skills necessary to provide care appropriate to the patient population(s) served. Ability to demonstrate knowledge of the principles of growth and development over the life span and ability to assess data reflective of the patient's requirements relative to his or her population-specific and age specific needs.

  • Takes action to correct observed risks to patient safety.
  • Reports adverse events and near misses to appropriate management authority.
  • Identifies possible risks in processes, procedures, devices and communicates the same to those in charge.
