Job Summary

The Department of Radiation Oncology (DRO), Radiation Medicine Program (RMP) is seeking 2 Administrative Team Leads for the DRO Administrative Services (including referral services). These positions report directly to the DRO Business Manager and will help ensures efficient and effective operations of the DRO Admin services.

Duties:

  • Provides direct supervision, enhances staff engagement and capacity building of the Department of Radiation Oncology (DRO) Referral & Administrative Teams.
  • Process Optimization: Develop and/or maintain respective Standard of Work (SOW), policies and procedures pertaining to the DRO Referral & Administrative process operations, while ensuring they are complete, up-to-date and communicated.
  • Supports or lead other DRO or RMP projects and functions, including HR processing, as required.
  • Manages all aspects of day-to-day operations in collaboration with other Admin Team Lead and DRO Business Manager.
  • Contributes to staff development by mentoring, coaching, providing direction, and assisting in performance monitoring of team members in a supportive/collaborative learning environment, with DRO Manager.
  • Frequently assesses performance of staff using a data driven approach. Identify improvement needs, develop and implement improvement strategies in liaison with RMP’s management team.
  • Liaises with members of the multidisciplinary team to ensure efficient coordination of care/service provision to meet /exceed high standards of practice, quality and safety.
  • Cross covers the other Admin Team Lead or DRO Manager, as needed.
  • Perform Referral or Administrative duties, when required for uninterrupted patient care.

Qualifications

 

  • Completion of Grade XII or recognized equivalent required.
  • Completion of a recognized medical or business post-secondary office administration diploma program or recognized equivalent required.
  • Minimum 3 years related office administration support experience required.
  • Previous supervisory experience preferred.
  • Experience working in a health care environment an asset.
  • Knowledge of medical terminology an asset.
  • Experience and evidence of leading process optimization or quality improvement activities for a team. 
  • Exceptional attendance and performance record.
  • Demonstrated leadership, motivational and team building skills, required. 
  • Shown initiative to consistently go above and beyond to provide patient-centered care. 
  • Experience with implementing change initiatives.
  • Ability to effectively handle confidential matters and materials required.
  • Ability to use good judgment in assessing difficult situations required.
  • Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines in accordance to UHN standards.
  • Effective interpersonal and communication skills.
  • Highly organized and efficient, ability to manage competing demands and efficiently work under pressure required.
  • Knowledge of applicable legislative, UHN and/or departmental policies.
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience required. Experience in a Microsoft Office environment preferred.
  • Demonstrated ability to collaborate across multi-disciplinary teams
  • Demonstrated proficiency in a detail-oriented position, reliable, adaptable, able to multi-task, and ability to troubleshoot issues to its resolution.
  • Client service oriented, with the ability to effectively work with diversity and appreciate that people with different opinions, backgrounds and characteristics bring richness to the challenge or situation at hand.
