Position Summary:
Reporting to the ICR Scientific Director and Assistant Director, the Events and Projects Lead plays a key role in planning and delivering the Institute’s workshops, meetings, and national events that support collaboration and advance cancer research across Canada. The role coordinates all aspects of event delivery – from logistics and communications to budgeting, purchasing, and travel expense processing –ensuring activities are executed efficiently and to a high standard.

This position requires strong organizational and project management skills, excellent written and verbal communication, and exceptional attention to detail. The successful candidate will thrive in a fast-paced environment, managing multiple priorities while demonstrating sound judgment, professionalism, and the ability to build effective relationships with diverse stakeholders.

The Institute of Cancer Research (ICR), headquartered at the University Health Network (UHN) in Toronto is one of the thirteen institutes of the Canadian Institutes of Health Research (CIHR). ICR advances cancer research in Canada by developing new national research initiatives and coordinating Canada‑wide efforts supported by federal, national, and provincial partners.

Duties:

  • Plan, coordinate, and deliver a range of events (e.g., workshops, meetings, and conferences) that support the Institute’s strategic priorities, under the general direction of the Scientific Director and Assistant Director.
  • Manage all aspects of event planning and logistics, including project planning, coordinating planning committees, sending invitations, managing registrations, developing evaluation surveys, and coordinating venues, speakers, catering, transportation, and equipment, etc.
  • Support the development and monitoring of event budgets, including tracking expenses and coordinating reimbursements.
  • Support the development of promotional and communication materials for events and Institute initiatives, including contributing content for newsletters, presentations, websites, and social media.
  • Build and maintain strong relationships with vendors, speakers, participants, partners, and other stakeholders involved in the planning and delivery of events.
  • Maintain and manage databases of event participants, sponsors, partners, and other key stakeholders.
  • Coordinate with suppliers, consultants, and service providers, including supporting the development and administration of contracts and agreements, and ensuring projects and events are delivered on time and within budget.
  • Maintain and update the Institute’s content management systems (e.g., SharePoint) to ensure accessible and well-organized documentation.
  • Provide coordination and administrative support to Institute staff, including managing staff calendars, scheduling meetings, preparing materials (e.g., agendas and minutes), coordinating travel arrangements, and general clerical duties as needed.
  • Represent the Institute at meetings, events, and conferences as required, providing updates and promoting the Institute's initiatives.
  • Contribute to special projects and initiatives that advance the Institute’s mandate.

Qualifications

  • Bachelor’s degree in Business Administration, Event Management, Communications, or a health- or science-related discipline, or an equivalent combination of education and experience.
  • Minimum of 2-3 years of relevant experience in event coordination or a related role. Experience in a government, academic, or research environment is considered a strong asset.
  • Ability to travel outside of Toronto for multi-day periods and to work flexible hours, including occasional evenings and weekends, to support/attend events and meetings.
  • Advanced proficiency with Microsoft Office applications (e.g., Outlook, Teams, SharePoint, Word, Excel, PowerPoint, Forms), Adobe Acrobat, event management and social media tools (e.g., EventBrite, Canva), with demonstrated ability to quickly learn new software and tools.
  • Exceptional organizational and project management skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent oral and written communication skills, including the ability to draft clear, concise correspondence and communicate with professionalism, discretion, and confidentiality.
  • Exceptional attention to detail, with a strong commitment to accuracy, nuance, and sensitivity in all outputs.
  • Strong interpersonal and relationship-building skills, with the ability to work effectively with diverse stakeholders, senior leadership, and external partners.
  • Demonstrated ability to work independently and collaboratively as part of a high-functioning team.
  • Highly developed problem-solving, critical thinking, and strategic planning abilities, with a proactive and self-motivated approach.
  • Knowledge of the Canadian cancer research landscape and key stakeholders is considered an asset.
  • Bilingualism (French/English) is considered an asset.
