Position Summary
Medical Assistance in Dying (MAID) is an end-of-life care option available to eligible patients at UHN. The MAID Administrative Assistant will work closely with the MAID interprofessional team (Clinical Nurse Specialist, Clinical Coordinator, and the executive leadership team) to coordinate and facilitate the efficient flow of service-related processes and administrative support of the MAID program. The MAID Administrative Assistant’s primary responsibility is with the Medical Assistance in Dying service, however, the incumbent will perform cross-functional duties, as assigned or requested, consistent with the job classification. The Administrative Assistant will report to the Director of Professional Practice for MAID at UHN.
The MAID Administrative Assistant for the UHN MAID service will utilize knowledge of medical terminology and exercise judgment or decision-making to provide secretarial and clerical assistance to the MAID service, in support of professional/medical personnel throughout the MAID process.
Duties
- Respond to service inquiries via phone, email, and voicemails; escalate as needed
- Support daily team operations, including check‑ins, service rosters, and staff and learner schedules
- Perform administrative duties to support outpatient clinic operations, including patient registration, appointment scheduling, intake, and related follow-up workflows
- Demonstrate proficiency in using the Epic electronic health record (EHR) system to support clinical and administrative processes, including managing patient information, as needed
- Support administrative coordination of non‑clinical service activities, including meeting and presentation scheduling and preparation of associated agendas and minutes
- Draft communications and updates on behalf of the MAID service to internal and external stakeholders
- Perform clerical support for legislated documentation requirements, as needed
- Maintain up-to-date filing systems, database, shared drive, and SharePoint
- Assist with maintaining and updating contact lists and staff rosters
- Support MAID service delivery with resource development as needed
- Assist with updates to the intranet site and public website
- Support database management processes and audit activities, as needed
- Provide clerical support for team projects, including quality improvement and research initiatives
Qualifications
- Completion of a post - secondary office administration program at the diploma level or equivalent
- Minimum three (3) years related experience in a health care environment and/or teaching hospital
- Interest and/or comfort in communicating with patients, families, and inter-professional health care staff in the context of MAID and end-of-life care
- Excellent verbal and written communication skills
- Excellent interpersonal skills and flexibility in dealing with diverse audiences
- Demonstrates excellent organizational, time management, and problem-solving skills
- Can deal effectively with ambiguity in time-sensitive scenarios
- Proficiency in medical terminology, preferred
- Previous experience in managing schedules, appointment booking, and administrative coordination of clinical workflows
- Previous experience in word-processing/data entry/spreadsheet software, including Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Access, Visio)
- Previous experience in using the Epic electronic health record (EHR) system to support clinical and/or administrative workflows
- Ability to produce high quality and accurate work in accordance with Hospital standards
- Ability to work well under pressure and manage multiple competing priorities
- Ability to work independently and as a team player
- Ability to perform duties in a self-directed manner
- Ability to maintain a high degree of sensitivity and confidentiality when working with patients, families, and clinical teams
