Toronto Region Diagnostic Imaging Central Intake Hub at UHN
Diagnostic Imaging Central Intake is a key part of Ontario Health’s Patients Before Paperwork (Pb4P) initiative to strengthen and modernize Ontario’s health system. Central Intake Hubs streamline processes, reduce administrative burden, and create a fair and consistent single-entry pathway for patients and providers. They provide a clear entry point for referrals so that access to care is easier, more consistent, and less burdened by paperwork. In the Toronto Region, Central Intake for Diagnostic Imaging is coordinated through UHN. Within this team, the Referral Specialist plays a key role in connecting referrers, patients, and service providers, ensuring each referral moves smoothly toward timely care.

We are seeking an experienced Referral Specialist to join our team within UHN Medical Imaging! As an integral member of the Toronto Region Diagnostic Imaging Central Intake Hub, the Referral Specialist serves as the key point of contact for internal and external interest holders (referrers, service providers, patients, and colleagues) and helps establish a professional, patient‑centered first impression. This role supports the coordination, processing, and routing of CT and MRI referrals across the Toronto Region and plays an important part in ensuring timely, accurate, and equitable access to diagnostic imaging services. The Referral Specialist contributes to a streamlined, standardized referral experience and supports the evolving provincial Central Intake model as workflows, technology, and responsibilities continue to develop.
RESPONSIBILITIES:
- Providing exemplary and timely customer service.
- Effectively and efficiently manage incoming referrals through the Central Intake process.
- Review referrals for completeness and accuracy; follow up with referrers as needed.
- Route referrals to the appropriate service location according to TR DI Hub workflows.
- Perform administrative and site support activities, including phone, email, documentation, and data collection/reporting activities. Participate in quality assurance and improvement activities, where required.
- Adapt to new technologies, workflows, and procedures as the Central Intake model evolves.
- Performs cross-functional and other duties consistent with the role classification, as assigned or requested.
Qualifications
- Completion of a Medical Office Administration program or recognized equivalent required.
- Minimum 2 years of practical and related experience in a healthcare or referral-based environment required.
- Strong computer skills and ability to navigate varied IT systems; proficiency with Excel and Word required.
- Excellent communication and interpersonal skills to deal effectively with medical professionals, referrers, patients, and colleagues.
- Knowledge of medical terminology and medical disciplines.
- Strong analytical, critical thinking, and deductive reasoning skills to interpret information.
- Ability to document all relevant information with accuracy and attention to detail.
- Highly organized with strong prioritization skills and ability to manage multiple tasks.
- Ability to work in a fast-paced, time-sensitive environment and manage ambiguity.
- Self-directed, reliable, and able to work with minimal supervision as workflows and responsibilities evolve.
