Shifts: 7.5 – 10 hour shifts; Days/Evenings/Weekends  
Status: Permanent Full-Time

Position Summary

The Administrative Assistant I is a key front desk role that exercises judgement and decision-making to provide clinic clerical services with a strong customer service focus.

Please note that this role will work out of multiple UHN locations:

  • Toronto Western Hospital
  • Princess Margaret Hospital
  • Toronto General Hospital
  • Toronto Rehabilitation Institute
  • West Park Healthcare Centre

Duties

  • Serve as the initial contact for individuals who require Health Services support with occupational injuries and disability case management, guiding them through the necessary procedures and forms
  • Book appointments, answer phone calls, and respond to emails with a strong customer service orientation
  • Ensure the efficient operation of the office, managing both electronic and physical document retrieval systems
  • Provide support for meetings and events, including scheduling and coordination
  • Assist with creating and generating reports in Excel
  • Order office supplies, maintain inventory levels, and ensure timely restocking to support the efficient operation of the office
  • Perform cross-functional responsibilities as assigned

Qualifications

  • Completion of a recognized post-secondary degree
  • Ability to work in a fast-paced environment, receiving phone requests, dispatching calls, and inputting data
  • Competence in creating and generating reports in Excel
  • Experience in website design and presenting other digital platforms
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office (Excel, Outlook, Word, Teams, Bookings, SharePoint)
  • Direct customer service experience is an asset
