Position Summary
The Receptionist-Clerk is responsible for greeting clients/patients, booking and billing patient appointments, and answering and directing calls for Rehab Plus. This function provides a warm friendly customer service experience as well as efficient clerical support.
Responsibilities:
- Greet patients/clients, enter patient/client data (EPR and scheduling/billing system), collect payments and provide receipts.
- Schedule appointments, confirm new assessments and log attendance to minimize cancellations, no shows and vacancies.
- Receive requests for service for the fee-for-service stream and books appointments accordingly.
- Ensure all relevant third-party billing data is collected and entered into scheduling/billing system (e.g. Motor-Vehicle Accident Benefits, WSIB information).
- Answer and direct telephone calls and queries from patients/clients, referral sources and staff; ensure messages are returned within 24 hours.
- Print routing sheets and pull/prepare charts for the next day.
- File charts/reports/other correspondence.
- Prepare charts for new patients/clients.
- Cross check and total daily payments to prepare for bank deposit, under the direction of the Office Supervisor
- Other Receptionist-Clerk duties, as assigned.
- Be aware of conditions and measures that may affect the safety of patients, residents, students, employees, volunteers, physicians and visitors including:
- Compliance with the safety standards of the hospital and applicable legislation
- Identification and prevention of safety issues and problems
- Taking corrective action, where possible
- Attendance at safety meetings/training/updates in accordance with the Centre’s standards.
- Ability to work in a manner that exemplifies the core values of West Park: Excellence, Respect, Trust, Collaboration and Accountability.
- Evidence of good performance history and attendance record
Qualifications
- High School Diploma
- Completion of a medical terminology course preferred
- Medical Office Assistant Diploma/Certificate considered an asset
- Keyboarding skills
- Familiar with computers
- 1-2 years of experience as a receptionist, preferably in a fast-paced hospital or clinic setting
- Excellent customer service and warm friendly telephone handling skills
- Excellent interpersonal skills including clear/concise communication skills (verbal and listening)
- Working knowledge of Microsoft Office suite Word and E-mail
- Ability to learn and apply computer software skills
- Able to use a calculator
- Demonstrated accuracy and attention to detail
- Ability to multi-task and prioritize work and customers
- Ability to work independently without supervision
- Evidence of satisfactory attendance and performance record
- Experience with Total Solutions considered an asset
