Position Summary:
The Clerical Assistant II plays a key role in supporting the daily operations of the Receiving department across UHN sites. This position is responsible for the accurate processing of incoming goods, resolving discrepancies, coordinating returns, and maintaining clear communication with internal and external stakeholders. The role upholds UHN’s standards for service excellence and ensures activities align with hospital policies and procedures.
Duties
Key Responsibilities:
- Process packing slips for incoming shipments and accurately enter the information into the SAP system, ensuring timely and organized recordkeeping for audit and tracking purposes.
- Investigate and resolve receiving issues across UHN sites, including missing or incorrect packing Slips, PO discrepancies, incorrect or misdirected shipments, and assist in tracking lost packages.
- Process hospital returns, repair shipments, and vendor returns using local and international couriers (e.g., Atripco, Purolator, FedEx).
- Process receipts for service-related purchase orders (Service POs) and coordinate with end-users to confirm that services were completed as expected.
- Prepare and submit KPI reports for the Receiving department as needed to support performance tracking and operational efficiency.
- Process incoming business cards for final distribution across hospital.
- Responsible for filing and managing internal documents within the Stores/Receiving department.
- Provide general support to the Receiving team by resolving inquiries related to incoming shipments with incomplete or incorrect delivery addresses on waybills, and by tracking shipments online. Assist with other duties as assigned
Qualifications
- Completion of Grade 12 or recognized equivalent.
- Minimum of six (6) months of recent, related clerical or administrative experience.
- Proficiency with computers, including experience using word processing, databases, and Microsoft Office applications (e.g., Word, Excel, Outlook); prior experience in a healthcare setting is an asset.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Effective verbal and written communication skills.
- Excellent interpersonal, telephone, and customer service skills, with a professional and courteous approach.
- Ability to work independently with minimal supervision, as well as collaboratively within a team.
- Demonstrated ability to use sound judgment and problem-solving skills in handling routine and non-routine tasks.
- Consistent attention to detail and accuracy, producing work that aligns with hospital standards.
- Experience working in a healthcare or hospital environment is considered an asset.
