As our People & Culture team continues to grow, we’re excited to welcome another Junior Coordinator (Intern) to help us maintain a workplace where people can truly thrive. This is more than an administrative role - it’s a chance to take what you’ve learned and apply it in a real-world, experiential setting where you’ll continue to grow and develop your HR skillset.

You’ll work closely with the Associate Vice President (AVP), People & Culture and the People & Talent Consultant, gaining hands-on exposure to a wide range of HR functions including recruitment, onboarding, employee engagement, and internal communications. You’ll also have the opportunity to shadow experienced team members, collaborate on meaningful projects, and contribute to initiatives that directly impact the employee experience.

This role is ideal for someone who is proactive, detail oriented, curious, and responsive. You bring a strong work ethic, a commitment to learning, and a genuine interest in people. You’re someone who is ready to roll up your sleeves and dive into the work. You’ll be based in the office a minimum of three days per week, and sometimes more, to maximize exposure, learning opportunities, and relationship building across the organization.

Key Responsibilities

  • Coordinate and maintain calendars such as scheduling meetings, interviews, and internal events.
  • Book meeting rooms, send calendar invites, and ensure relevant materials are prepared and shared in advance.
  • Monitor scheduling conflicts and assist in prioritizing meetings based on urgency and availability.
  • Prepare daily or weekly agendas and briefing notes to support time management and meeting readiness.
  • Organize and maintain confidential HR files and documentation, both digital and physical.
  • Assist in preparing presentations, reports, and meeting materials for leadership and cross-functional meetings.
  • Track and follow up on action items from meetings, projects, and HR initiatives.
  • Support documentation and coordination of HR programs such as onboarding, performance reviews, and employee engagement activities.
  • Help coordinate logistics for HR events, training sessions, and town halls, including attendee lists, materials, and room setup.
  • Take meeting minutes and distribute summaries to relevant stakeholders, ensuring follow-up actions are tracked.
  • Maintain trackers and spreadsheets for recruitment, onboarding, and talent development programs.
  • Respond to routine inquiries and redirect more complex questions to appropriate team members.
  • Support the People & Talent Consultant in organizing candidate interviews, preparing interview guides, and coordinating feedback collection.
  • Help manage recruitment documentation, including job postings, candidate profiles, and interview schedules.
  • Assist in compiling data for HR metrics, and reports used in talent planning and decision-making.

Qualifications

  • Relevant education and/or experience in Human Resources, Business Administration, or a related field.
  • 1–2 years of experience in an administrative or HR support role preferred.
  • Strong organizational and time management skills, with the ability to manage multiple HR priorities such as recruitment coordination, onboarding logistics, and employee engagement activities.
  • Excellent written and verbal communication skills, with the ability to draft clear HR documentation, meeting notes, and candidate communications.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with HR systems such as HRIS or ATS is an asset.
  • Demonstrated discretion and professionalism in handling sensitive and confidential People & Culture information.
  • Collaborative team player with a proactive, service-oriented mindset and a genuine interest in supporting people-focused initiatives, particularly those aligned with Inclusion, Diversity, Equity, Accessibility, and Anti-Racism (IDEAA) principles and Collaboration, Accountability, Respect and Excellence (CARE) values

Working Conditions

  • Hybrid work environment (subject to organizational policy).
  • Occasional requirement to support early morning or late afternoon meetings/events.
