Job Description

Hours: 37.5 Hours per Week
Status: Permanent Full Time

Duties

An integral member of Perioperative Services, the Administrative Coordinator provides administrative services in support of the nurse manager. Principal responsibilities include:

  • Supervising and facilitating day to day operations in Preadmission/SAU/POCU/PACU and Day Surgery, providing direct assistance to clerical staff in surgical services
  • Coordination of activities and flow between surgical administrative assistants and Perioperative Services to facilitate seamless patient care, engaging in operational and departmental strategic initiatives
  • Perform cross functional responsibilities as assigned
  • Complete payroll (ensuring that all staff are paid accurately, respond to staff inquiries regarding vacation balance/STAT holidays) Liaise with Manager to ensure schedule is correct (OT, Vacation, illness, etc.)
  • Build and post schedules (according to master and central agreement(s) Monitor and update schedules with any changes that are required
  • Type all memos/letters where necessary
  • Set up interviews for applicants and handle any necessary paperwork for new employees (ID badges, network access, employee numbers, Pyxis access, EPIC access and training) Ensure that all documentation is completed
  • Ensure phone lists are always up to date with current telephone numbers
  • Ensure Emergency Preparedness Fan-out List is kept up to date
  • Performing other duties consistent with the job classification as required

To be considered for this role, you must have significant experience in managing time and tasks within an extremely busy professional office and clinical environment, and have the ability to focus on the priorities of a rapidly changing day. You have excellent MS Office applications skills, especially Outlook, Word, Excel and PowerPoint; superb organizational and time management skills and the ability to multitask effectively. The successful incumbent will show initiative and work well with a wide range of people throughout the organization. They will also be insightful, mature and tactful, remain calm under pressure and confident in their capability to perform well in the job and make it their own.

Qualifications

  • Undergraduate degree in Business, Health Sciences, preferred
  • Experience working within health care, preferable in a hospital environment 
  • Related Office Administration support experience is an asset
  • Knowledge of Medical Terminology is required
  • Excellent interpersonal and customer service skills required
  • Excellent Verbal and written communication skills required
  • Ability to work in a fast-paced environment; strong time management skills;
  • Consistently demonstrates exemplary customer service skills, excellent organizational, and planning;
  • Strong computer skills (Internet, Microsoft Word, Outlook, PowerPoint, Excel)
  • Demonstrated ability to work proactively and independently
  • Proven adaptability to varying roles and responsibilities as needs and priorities of the position evolve
  • Demonstrated ability to build successful working relationships with all levels of staff
  • Ability to maintain confidentiality
  • Ability to provide leadership and advisory services to assigned staff; provide staff with technical and procedural guidance, direction, and on-going coaching
  • Ability to produce detail-oriented, accurate work – ability to establish, maintain, and adhere to priorities – statistical data, tracking of metrics as required
