Job Description

The Manager of Faculty Planning and Scheduling is a centralized academic operations role responsible for proactively building, managing, and retaining a pooled network of per diem and adjunct faculty supporting Unitek’s hospital-embedded programs. This includes clinical, skills lab, simulation, and proctoring faculty across multiple locations and specialties.

This role exists to ensure flawless staffing execution while removing administrative and coordination burden from on-site leadership. The Manager of Faculty Planning and Scheduling owns faculty pool readiness, advanced scheduling, contingency planning, onboarding coordination, and communication management—ensuring zero disruption to student learning due to staffing.

Success in this role requires extreme ownership, strong operational discipline, and a service-oriented mindset.

Faculty Resource & Pool Management

  • Build and maintain site- and specialty-specific faculty pools (clinical, skills lab, simulation, and proctoring).
  • Actively manage faculty as a talent network, ensuring engagement, readiness, and retention.
  • Maintain accurate faculty records in CRM and tracking systems, including specialty, licensure, availability, onboarding status, and assignment history.
  • Conduct regular availability surveys and maintain real-time readiness visibility.
  • Ensure 100% backup coverage is identified and prepared for all clinical and lab days.

Proactive Scheduling & Workforce Planning

  • Develop and maintain multi-year master staffing schedules for each site:
    • Year 1: single-cohort models
    • Years 2–3: stacked cohorts as sites mature
  • Assign faculty well in advance and issue contingent letters as appropriate.
  • Manage increasing scheduling complexity as programs scale, ensuring accuracy, clarity, and redundancy.
  • Own proctor pool management and exam-day scheduling across all locations.

Recruitment & Hiring Coordination

  • Partner closely with Recruitment to monitor staffing health by site and specialty.
  • Provide insight on when to accelerate or pause recruiting efforts.
  • Manage candidate flow from recruitment through Assistant Dean interview and offer.
  • Ensure Assistant Deans retain hiring authority while keeping the process moving efficiently and on timeline.

Onboarding, Readiness & Engagement

  • Fully own faculty readiness from offer acceptance through first assignment, including:
    • Unitek onboarding
    • Hospital onboarding
    • Clinical clearance and background checks
    • Required training and development
  • Serve as the primary point of connection to ensure faculty feel prepared, supported, and engaged prior to assignment.
  • Maintain clear, consistent communication to prevent last-minute issues or confusion.

Site & Academic Partnership

  • Serve as a trusted service partner to Assistant Deans and Site Coordinators.
  • Remove site teams from administrative meetings, scheduling calls, and coordination tasks.
  • Collaborate with Regional and Associate Deans on staffing strategy and problem-solving as issues arise.
  • Work closely with Registrar, Clinical Clearance, and Recruitment teams to ensure seamless execution.

  • 100% on-time faculty assignment placement
  • 100% backup coverage across all sites
  • Zero cancellations of clinical, lab, or simulation days due to staffing
  • Faculty pool retention and engagement
  • Reduction in reactive staffing escalations

Qualifications

  • Must hold a valid, active RN license issued by the State Board of Registered Nursing
  • Bachelor’s degree required (Master’s preferred)
  • 5+ years of experience in academic operations, clinical staffing, workforce scheduling, or healthcare talent management
  • Experience managing per diem or adjunct faculty pools across multiple locations strongly preferred
  • Demonstrated success managing complex, detail-heavy schedules
  • Proficiency with CRM systems, scheduling tools, and data tracking
  • Experience working cross-functionally with academic leaders, recruiters, and operations teams
