EXECUTIVE PRODUCER (ACTIVATION) - FT, ON-SITE

We are a privately owned holding company that owns and operates a variety of diverse companies including: an advertising/communications agency, a digital agency, a public relations firm, a content and production studio, a business planning consultancy, a sports facility and tournament operator, and a canned cocktails business.  The owner is a hands-on CEO and serial entrepreneur. The companies operate independently but in a collaborative environment.

We have three office locations, one in Huntington Beach, one in Seal Beach and one in New York City with about 100 total employees. This position will work in our Huntington Beach office and focus on California based events / activations.

We are looking to build a strong events team that will utilize our office campuses to host events / activations, conferences and speakers’ series as well as provide activation support for our clients.  

Job Description

What a day in the life will look like:

Management:

● Client relationship lead

● Provide production expertise and leadership - guide internal teams to anticipate and meet client goals/objectives, and foster organic growth

● Day-to-day management of internal and freelance producers, ensure projects are on track and reconciled in a timely manner

● Day-to-day management of vendors, ensure projects are on track and reconciled in a timely manner

● Provide departmental administrative support including signing off on invoices, reviewing contracts, ensuring credit cards are reconciled, and budgets are closed

● Assist in production staff planning for both long-term and freelance

● Support overall budgeting process to ensure profitability

● Provide coaching and managerial oversight to junior staff

Production:

● Oversee and manage all facets of pre-event production, onsite management, and post-event breakdown.

● Able to oversee multiple events from beginning to end, occasionally occurring simultaneously.

● Lead client communications and deliverables

● Create, manage, and oversee complex event budgets, from concept to reconciliation to ensure profitability.

● Oversee venue scouting and selection.

● Work with Creative and Client Services teams to ensure the client's vision is being met.

● Guide project team in the selection of high quality, vendors, including venue, catering, décor, fabrication, audio, lighting, photography and staffing.

● Work with UC’s influencer agency to secure talent and fulfill riders if needed.

● Responsible for ensuring teams create and maintain key event documents including budget, activation deck, recap deck, run of show, work back schedule, contact list.

Pre-Contract Production Support:

● Contribute to the development of pitches/proposals ensuring budget and executional feasibility. When necessary, work hand in hand with a creative team to develop alternative concepts to fit within project confines.

● Responsible for overseeing pricing out of ideas/concepts, and production budgets generation included in proposals.

● Provide pre-contract support including vendors; and participating in client pitch meetings.

● Strong working knowledge of new, unique venues and cutting-edge vendors

● Attend brainstorms and RFP meetings.

● Working with Influencer and Digital agencies in securing talent and fulfilling riders if needed.

● Responsible for overseeing adherence and quality control to organization processes and key event documents including budget, activation deck, recap deck, run of show, work back schedule, and contact list.

Qualifications

What you need to succeed:

● At least 10+ years combined experience in Events or Experiential on the agency/contractor/client side.

● Five years minimum of experience as a Senior (Activation / Experiential) Producer in an agency setting and comfortable/measurable experience producing budgets of $25k to $1MM+.

● Exceptional budgeting skills.

● Extraordinary organizational and management skills, strong ability to multitask.

● Deep knowledge of cutting-edge venues, vendors and tastemakers.

● Excellent writing and verbal communication skills. Storytelling to sell a vision and/or POV.

● Ability to develop and communicate activation concepts and ideas.

● Background in managing teams. 

● Experience in staff planning against projects in the pipeline.

● High proficiency in Google / Microsoft Office Suite and Keynote.

● Professional conduct within and outside office while conducting agency business.

Bachelor's Degree required.

* Salary Range: $160,000 - $175,000 salary range
