Job Description

The External Team Coordinator supports team-wide initiatives, special projects and administrative tasks for the Chief External Officer (CExO) as needed. The Coordinator reports to the Director of External Strategy and works regularly with the Directors on the team. We are looking for a go-getter with high energy and self-assurance. The role will provide an outstanding opportunity to learn about external affairs at a large-scale education organization!

Programmatic Support 

  • Project manage and operationalize several team-wide initiatives per year; activities include building out the project plan, owning implementation, and supervising budget and execution. For example:
  • Manage the Family Newsletter by owning the process plan and internal communication to regions (with support from External Affairs members). Handle MailChimp compilation and list maintenance and coordination with translator.
  • Support External Affairs as Salesforce administrator managing ongoing maintenance and follow-up with team members.
  • Maintain daily recap of news coverage related to Uncommon Schools, educational institutions and education and charter related policy and manage the Uncommon Media Tracker.
  • Maintain a competitive audit tracker of other Charter Management Organizations (CMOs) collaborating with Marketing and other External Team members as needed.
  • Support with Get Out the Vote (GOTV)/Advocacy initiatives

Administrative Tasks

  • Ensure the CExO and External Team’s time is maximized and aligned with organizational priorities by seamlessly handling calendar and arranging meetings, submitting monthly travel and expenses, and supporting special projects.
  • Provide support for the directors of External Affairs, Media, External Strategy and Enrollment teams, including credit card reconciliation and reimbursements, processing vendor invoices and other administrative duties.
  • Own meeting setup for External Teams, handling logistics such as printing/copying, organizing/ordering materials, ordering food, taking notes/minutes and photography as needed.
  • Improve team operations and processes by looking for ways to improve efficient allocation of resources and time, including documentation and record-keeping.

Team & Systems Management 

  • Support in building cohesion in External Team culture and represent the team through interactions with Home Office and School staff.
  • Maintain External Team master calendar, including board meetings, events related to team initiatives and major school events.
  • Create and maintain strategic trackers and metrics to ensure progress on high level work towards goals and landmarks.

  • Strong time management skills; ability to manage multiple tasks simultaneously and meet tight deadlines

  • Excellent interpersonal skills
  • Strong digital literacy skills, including database management and Microsoft Office, Word, and Excel

Preferred Qualifications

  • 2-3 years of office experience, ideally with an education agency
  • Prior experience working in schools and/or urban communities 

Education Requirements

  • Bachelor’s degree required

Compensation for this position: The starting compensation for this role based in New York, NY is between $22.50-$26.44/hr and generally, we expect that qualified candidates in this location will be made an offer between $22.50/hr. The starting pay will depend on a variety of factors that may include but are not limited to experience, education, training, certification, and location. Because we value staff staying in their roles over time, we do not currently cap salary ranges.
