Job Description

Uncommon Schools is committed to ensuring that its graduates both enter into and graduate from a four-year college or university. This fulfills our mission of seeing students to and through college, thus closing the achievement gap between low-income students and their wealthier peers. The Alumni Success Coordinator provides high-level administrative support to ensure the director and managers of College Access and Success can efficiently accomplish key tasks and execute departmental initiatives. Under minimal daily supervision, the Success Coordinator requires independent judgment and taking initiative on time-sensitive assignments. The Success Coordinator also provides general guidance for other staff members on administrative and technical systems. This role may include occasional communication and interaction with senior-level personnel, directors, external collaborators, and contacts to assist with departmental objectives that achieve the Uncommon School’s mission.

Core Duties & Responsibilities (including, but not limited to)

(1)  Administrative Management

  • Team Logistics and Coordination Manage all team logistics and coordination including managing team calendar and Outlook invites, professional development (PD) support, team-wide and alumni-wide communication (i.e., email, texts, social media, Slack, etc.) and leading team-wide culture initiatives (i.e., staff culture survey, birthday shout outs, gift and Kudoboard coordination)
  • Data and Fiscal Management – Manage the financial budget using Workday to pay out reimbursements, scholarships, alumni incentives, and travel expenses
  • Scholarship Management –Promote, manage and process Uncommon Schools’ alumni scholarships (i.e., end-of-year scholarships, book scholarships, emergency funding, etc.); streamline current scholarship processes, including managing incoming requests, ensuring proper documentation submission, and uploading required documentation to the alumni database

(2)  Alumni Outreach and Communication

  • Increase college enrollment by re-engaging stopped out and/or inactive alumni using email, social media and direct phone calls; organize and co-facilitate in-person and virtual meetings between stopped out and/or inactive alumni and an Alumni Success Coach and/or the Career and Technical Education (CTE) or Alumni Impact managers
  • Manage and update Alumni website, social media accounts, annual and monthly alumni newsletters

(3)  Special Event Planning

  • Coordinate and collaborate with Alumni Support staff and Office of College Access & Success (OCAS) Office Coordinator on the planning, implementation and execution of all special programs and events. These events include, but are not limited to sending fall care packages, “Alumni Day”, and end-of-year alumni events.

Qualifications

Required Skills & Abilities

  • Provide administrative assistance, such as drafting and editing documents including slide decks, newsletters, handbook, and preparing communications on the Senior Manager's behalf
  • Lead special projects that include researching information and compiling reports
  • Perform minor accounting duties 
  • Maintain comprehensive and accurate records 
  • Organize meetings, including scheduling, sending reminders, and organize catering, when necessary
  • Handle general office management & coordinate office supply inventories
  • Manage the Alumni Support events calendar, including making appointments and prioritizing the most sensitive matters
  • Other job duties may include preparing checks & wires for approval, data entry, filing, and organization of inbound/outbound mail

Educational Requirements

  • Bachelor’s degree required 

Experience Requirements

  • 4+ years of professional work experience required
  • 2+ or more of direct experience in an operations role required; a school-based operations role is preferred
  • Experience in higher education/secondary education that support urban population preferred
  • Spanish language skills a plus but not required
  • Be a results-driven achiever with excellent organizational skills
  • Able to manage multiple assignments, set priorities, and adapt to changing conditions within tight deadlines
  • Excellent computer skills, including Microsoft Word, Excel, Publisher, PowerPoint, Adobe, etc.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 30 pounds at a time
  • Must be able to climb up to 4 flights of stairs while carrying items such as boxes, chart paper or computer

Travel Requirements

  • Must be willing to travel via car, bus, train, and/or plane for quarterly regional team meetings and professional development opportunities.

Other Requirements

  • Fully vaccinated for COVID-19 (or able to provide eligible medical or religious exemption documentation)
  • Valid driver’s license

Schedule

  • Monday through Friday from 8:30 AM – 4:30 PM with one pre-approved remote day per week.
