Job Description

The Accounts Payable clerk will support the Accounts Payable Manager on all aspects of accounts payables functions. The Accounts Payable’s Clerk will work closely with the members of the accounting team to assist with team initiatives, projects, and reporting.

This position handles a high volume and requires the review of several key areas of coding which impacts Uncommon’s ability to receive certain federal funding. The staff person also is looking for any inappropriate use of funds on expense reports.

Crucial Duties & Responsibilities:

Processes and maintains accounts payable functions for Uncommon Schools, its subsidiaries and schools. 

1. Reviews all purchase orders, supplier invoices and expense reports for appropriate documentation to ensure all payments are in compliance with financial policies and procedures. Review includes the following items:

  • Ensure state compliance codes are accurate – ensures purchases are follows state reporting mandates

  • Review submitted expenses to confirm (and correct as needed) appropriate coding was done to ensure that expenses are accurately supervised for Federal grants funding

  • Appropriate documentation is attached (receipts and invoices)

  • Invoice submission matches vendor information (correct vendor chosen, accurate invoice number entered, accurate date and remit-to address entered, accurate amount for payment entered)

  • Descriptions are appropriate to the expense

  • Assist with vendor payment inquiries

  • Performs various accounting, administrative and other related duties as assigned and required by the role

2. Interpersonal relationships: Reports to Accounts Payable Manager and works closely with the entire Accounting and Financial Management teams; interacts with all Home Office personnel and school based teams.

Qualifications

  • High School Diploma or GED; Associates Degree or equivalent from a two year college or technical school preferred

  • Knowledge of general accounting principles, regulatory standards and compliance requirements

  • Ability to maintain systems that improve organizational efficiency

  • Ability to work well in a team environment

  • Ability to thrive in a fast-paced, high-reaching environment; flexible, able to work autonomously as well as take direction as needed

  • General math skills 

  • Proficiency in MS Office, experience working with higher end software platforms (Work Day a plus) 

  • High degree of accuracy, attention to detail and confidentiality 

  • Excellent data entry skills 

  • Excellent analytical, problem solving and detail oriented. 

  • Must possess strong time management and leadership skills.

  • Effective verbal, listening and written communication skills 

  • Excellent organizational skills 

  • Demonstrates a sense of urgency and ability to meet deadlines 

  • 1-3 years of proven experience in non-profit development, accounting, or public sector finance preferred
