Doka Singapore is seeking an experienced and motivated Yard Manager to join our Operations team in Singapore. This is an excellent opportunity for a hands-on leader who enjoys working in a fast-paced environment and is looking to make a meaningful impact within a growing organisation.

Reporting to the Head of Operations, MY & SG, you will be responsible for the day-to-day management of yard operations, ensuring the safe, efficient, and cost-effective handling of equipment, materials, and inventory. You will lead and develop the yard team, maintain high standards of safety and compliance, optimise operational processes, and ensure the yard consistently meets business and customer requirements.

Job Description

Key Responsibilities

1. Warehouse Operations & Coordination

  • Support and oversee daily warehouse and yard activities including receiving, storage, order preparation, customer deliveries, returns, reconditioning, and dispatch of materials.
  • Ensure warehouse operations comply with internal procedures, including the "4-eyes principle" and company control requirements.
  • Coordinate workload planning, manpower allocation, and daily job assignments for warehouse staff, carpenters, scaffolders, operators, and foreign workers.
  • Plan warehouse layout, optimize material flow, and maximize storage efficiency.
  • Ensure timely availability of materials for projects based on approved drawings, material lists, and operational schedules.
  • Coordinate prefabrication activities and support site delivery planning.

2. Inventory Management & Documentation

  • Maintain accurate inventory records for all incoming, outgoing, transferred, and returned materials.
  • Ensure timely and accurate recording of stock movements in SAP, Discos II, or other designated systems.
  • Prepare and maintain warehouse documentation including:
    • Delivery Orders (DO)
    • Goods Receipt Notes (GRN)
    • Return-to-Warehouse (RTW) documents
    • Transfer Orders
    • Stock Adjustment records
    • Delivery and return schedules
  • Conduct regular cycle counts, quarterly stock takes, and reconciliation of physical inventory against system records.
  • Monitor stock levels of materials, consumables, spare parts, tools, and warehouse equipment, escalating replenishment requirements where necessary.
  • Manage inventory accuracy for Ready-To-Use (RTU) materials and ensure proper documentation of warehouse transactions.

3. Logistics & Site Support

  • Coordinate inbound and outbound logistics to ensure timely deliveries and collections.
  • Organize delivery schedules and monitor material readiness for project sites.
  • Coordinate onsite material deliveries, prefabrication works, and assembly requirements.
  • Verify quality, quantities, and dimensions of finished products before delivery.
  • Liaise with Operations, Sales, Procurement, Commercial, and Logistics teams to ensure smooth coordination of material movements.

4. Bonded Warehouse Management

  • Oversee operations of the Bonded Warehouse in Johor Bahru (JB).
  • Ensure compliance with Customs regulations and statutory requirements.
  • Maintain accurate inventory records for bonded goods.
  • Coordinate inspections, logistics activities, and documentation.
  • Liaise with Customs authorities and relevant government agencies when required.

5. Reconditioning & Modification

  • Coordinate reconditioning activities for returned materials.
  • Record all material modifications and report significant changes to the Head of Operations MY & SG.
  • Ensure maintenance, repair documentation, and material traceability are properly maintained.

6. Team Leadership & People Management

  • Supervise, coach, train, mentor warehouse personnel and foreign workers.
  • Provide clear work instructions and ensure adherence to company procedures.
  • Monitor attendance, discipline, productivity, and overall job performance.
  • Promote teamwork, accountability, continuous improvement, and effective communication.
  • Coordinate manpower sharing and resource allocation across warehouse operations when required.

7. Administrative & Reporting

  • Prepare operational reports covering inventory, warehouse performance, delivery status, stock utilization, and operational KPIs.
  • Support quality analysis, job costing, and profit & loss (P&L) reporting where applicable.
  • Maintain complete and accurate warehouse filing systems.
  • Respond to internal and external enquiries relating to deliveries, stock availability, warehouse activities, and inventory discrepancies.

8. Safety, Quality & Compliance

  • Ensure compliance with the Company's Health, Safety, Environment, and Quality Management Systems.
  • Promote safe working practices and enforce proper use of Personal Protective Equipment (PPE).
  • Maintain warehouse cleanliness, housekeeping, loading bays, storage areas, and common facilities.
  • Ensure warehouse equipment, tools, forklifts, cranes, and lifting devices remain in safe working conditions.
  • Ensure confidentiality, integrity, and accuracy of all warehouse records and documentation.

9. Continuous Improvement

  • Identify operational bottlenecks and recommend process improvements.
  • Support implementation of warehouse best practices and productivity initiatives.
  • Participate in cross-functional projects aimed at improving operational efficiency and customer service.
  • Assist in implementing new warehouse systems, procedures, and operational controls.

10. Other Duties

  • Support inter-departmental collaboration and cross-functional initiatives.
  • Undertake any other duties or projects assigned by the Head of Operations MY & SG or Management.

Qualifications

Personal Attributes & Requirements

  • Diploma or Certificate in Logistics, Supply Chain Management, Warehouse Management, Engineering, or a related discipline is preferred.
  • Minimum relevant experience in warehouse, logistics, or yard operations, preferably within construction, manufacturing, or industrial environments.
  • Strong leadership, supervisory, and people management skills.
  • Good planning, organizational, and coordination abilities.
  • Able to work under pressure and meet tight operational deadlines.
  • Strong analytical and problem-solving skills with attention to detail.
  • Hands-on, proactive, and results oriented.
  • Good command of English, both written and spoken.
  • Proficient in Microsoft Office applications, particularly Microsoft Excel.
  • Experience with ERP/Warehouse Management Systems (SAP, Discos II, or equivalent) is preferred.
  • Knowledge of warehouse safety practices, inventory control, and logistics operations.
  • Familiarity with Doka products, construction site operations, quality systems, and bonded warehouse operations will be an advantage.
