Job Description
As an Executive Assistant, you will support the Umdasch Group Ventures team in all administrative, organizational, and project-supported matters. You play a key role in ensuring the smooth execution of operational and governance processes and act as a reliable interface between internal and external stakeholders.
You will collaborate closely with a globally dispersed team, requiring strong coordination skills, cultural sensitivity, and flexibility in working style and time management.
In addition, your core responsibilities include:
- Preparing board-level documentation, as well as creating presentations, reports, agendas, minutes, and communication materials in both German and English
- Planning, organizing, and coordinating meetings, workshops, events, selected marketing-related activities, and business trips (including flights, trains, hotels, and visas)
- Managing office organization, invoices, orders, and expense reports
- Serving as a point of contact and key user for various company systems
- Onboarding new employees, including hardware procurement, system access, and training
- Covering for colleagues during absences and flexibly taking on additional tasks
Qualifications

You bring a structured working style, set clear priorities, and drive process improvements, while continuously developing yourself.

Your Background:
- Completed commercial/business education (e.g., HAK or equivalent)
- At least 5 years’ experience in a similar executive assistant role in an international setting
- Organizational talent, and high sense of responsibility
- Strong MS Office skills and high IT affinity
- Outstanding interpersonal and communication abilities, empathy, and strength in fostering teamwork
- Excellent German and English skills; additional languages are a plus
- Discretion, attention to detail, and a proactive, independent working style
- Advantageous: strong interest or affinity for marketing, and communications topics

A competitive, market-aligned salary is offered for this position, depending on specific qualifications and professional experience.
We are legally required to indicate a minimum salary. According to the collective agreement for the retail sector, the annual gross minimum salary for this position is EUR 35,126.00 on a full-time basis.
