Job Description
The Contracts Manager will be responsible for assisting with the administration and coordination of contract documentation, ensuring compliance with company policies, and supporting project teams with contractual and financial needs. This role requires a strong background in accounting to manage billing, financial tracking, and compliance effectively. The Contracts Manager will work closely with operations teams, project teams, and clients to ensure all contracts are executed, monitored, and managed in alignment with legal requirements, company objectives, and financial standards.
Key Responsibilities:
Contract Management
- Communicates, tracks, and files all contracts from the proposal stage to execution, ensuring thorough documentation and record-keeping.
- Works with sales teams to draft, review, and finalize contracts, subcontracts, and change orders when the project scope exceeds the original contract.
- Tracks contract milestones, deadlines, and deliverables to ensure compliance with agreed-upon terms, preventing any material shipments without signed contracts.
Financial Oversight
- Manages the invoicing process, ensuring accurate and timely billing that aligns with executed contracts.
- Updates Discos II with precise billing information and tracks financial data to support revenue reporting.
- Reviews contracts on a BOL-by-BOL basis, ensuring alignment and consistency between contracts and billing documents.
- Compares sales credit requests to contract documentation, assesses validity, and prepares approval documents.
- Prepares and analyzes financial reports related to contract performance, providing actionable insights for risk analysis.
Insurance and Compliance
- Handles all customer certificate of insurance requests and ensures preliminary notices are filed upon the first shipment's completion in the CRM.
- Collaborates with procurement and legal departments to ensure contracts meet project requirements, financial constraints, and company policies.
- Monitors compliance with safety regulations, company policies, and applicable laws during contract execution.
Systems and Data Management
- Manages project closures in Discos II and sets up new customers, projects, and jobsites in the system.
- Supports vendor and subcontractor pre-qualification processes, ensuring adherence to financial and contractual obligations.
Qualifications
- Bachelor’s degree in Business Administration, Accounting, Construction Management, Legal Studies, or a related field.
- 2+ years of experience in contract administration, preferably in the construction, formwork, or shoring industry.
- Strong knowledge of construction or corporate contracts
- Excellent organizational skills with a keen attention to detail.
- Ability to manage multiple contracts and projects simultaneously.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and contract management software.
- Strong communication and interpersonal skills, with the ability to collaborate across departments.
- Familiarity with local, state, and federal regulations related to construction and safety.
