Job Description
Looking to appoint an enthusiastic HR & Administration Coordinator to join our office in Kuwait who will be responsible for Payroll, general HR Operations, and all the administrative processes of the Company. We are looking for an approachable and detail-oriented HR & Administration Coordinator who is happy to be the first point of contact for all employee inquiries and who has solid experience in local rules and regulations. The position reports to the Head of Support in Qatar & Kuwait with a functional reporting line to the Head of HR Middle East, Africa, and Asia Pacific.
Specific responsibilities include:
- Drive recruitment, selection, and onboarding process for vacant positions including visa procedures together with PRO.
- Handle employment-related inquiries from applicants, employees, and managers/ supervisors, referring complex and/or sensitive matters to the appropriate internal or external partners.
- Perform all payroll requirements with the support of the Finance & Controlling Manager in Doka Kuwait.
- Maintain an accurate SAP HR database (hard and soft copies) including leave and timekeeping.
- Play an active part in the Area HR network to enhance collaboration, best practice exchange, and learning opportunities.
- Support the Area HR Team in executing proper job analysis for all Doka Kuwait current and future positions and in creating and reviewing job descriptions accordingly.
- Partner with Area HR Team to identify, develop and enhance initiatives, programs, activities, policies, and procedures.
- Maintain performance and talent management, and training and development together with country management.
- Review, track, and document compliance with mandatory and non-mandatory training, continuing education, and work assessments.
- Prepare letters, certificates, memos, and reports.
- Advise department heads on employment issues and HR matters
- Coordinate with internal and external partners for Health Insurance and legally required insurance processes by law.
- Be the first point of contact for employees who have professional or personal problems.
- Maintain compliance with local employment laws and regulations, and recommend best practices.
- Apply for, renew, and cancel employment / resident visas and visit visas when needed.
- Manage car fleet & fuel, employee mobile, travel arrangements, and events.
- Support the Managing Director / Head of Finance & Controlling in managing and implementing of year plan/budget for the assigned unit including but not limited to profit-sharing bonuses and yearly increments.
Qualifications
We are looking for a proactive person with a strong ability to act with integrity, professionalism, and confidentiality as well as the following qualifications and skills:
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- 3 to 5 years of experience in a similar human resource role.
- Thorough knowledge of Kuwaiti employment-related laws and regulations.
- Proficient with Microsoft Office.
- Smart Recruiters and SAP HR Module knowledge are a plus.
- A strong team player.
- Excellent English verbal and written communication skills.
- Strong organizational skills, ability to prioritize tasks, and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
