Job Description

Summary of Position:

The Operations Manager, Toronto handles all aspects of operations including order processing, inventory management and control, business planning, branch office and equipment logistics, yard operations and administration of the daily operations of the Operations Department. He/she reports directly to the Branch Manager of Toronto and functionally to the Head of Operations – Canada.

Responsibilities include but are not limited to:

  • Full responsibility for all aspects of the branch and yard operations;
  • Executes and supports the company strategy & targets as agreed with his/her line+functional manager;
  • Plans and optimizes staff and material expenses in his/her area of authority;
  • Training of new employees & securing of knowledge transfer within the team;
  • Partners with sales and engineering staff to manage and handle customer orders and projects;
  • Checks client’s demand to determine appropriate product utilization and oversees compliance to the company product strategy;
  • Manages and maintains all aspects of customer accounts and the order process including order placement and order entry, follow up, price verification and product inquiries;
  • Enhances & optimizes all Operations and Yard staff as applicable;
  • Controls data quality and efficiency in the commercial office;
  • Manages human resources and staff development for all branch Operations employees in coordination with the General Manager;
  • Checks operational feasibility of contracts with customers and customer purchase orders;
  • Assesses the qualifications of new staff, their development and target agreements.
  • Follows & implements Doka & DCAN corporate standards and processes into the branch;
  • Organizes and monitors the physical inventory counts;
  • Ensures that the inventory levels are properly maintained by continually tracking and monitoring the logs and analyzing data ;
  • Ensures that deliveries and returns of rental materials is processed according to company standards;
  • Oversees, coordinates and monitors all pre-assembly work;
  • Reviews freight costs to monitor cost effectiveness;
  • Initiates and oversees the credit management process for new customers including, but not limited to, assuring customers do not exceed their credit limits and that they are complying with payment agreements;
  • Ensures monthly closing including timely and accurate billing of all product sales, rental contracts and services;
  • Handles, resolves and addresses complaint management for all Operations related customer complaints;
  • Creates, generates and distributes a large volume of spreadsheets and reports;
  • Ensures compliance with the branch’s fixed cost plans & control CAPEX;
  • Organizes proper maintenance of all branch facilities and fixed assets;
  • Ensures all operations are Doka and OSHA compliant;
  • Ensures that required safety training is conducted on an ongoing basis;
  • Conducts weekly Branch Operations meetings to coordinate with sales, engineering and customer service representatives;

 

Other Responsibilities / Peripheral Functions:

 

  • Travels as required;
  • Assists in ensuring safe working practices and a safe working environment. Complies with all policies and business practices.

Qualifications

  • Bachelor’s Degree in Business Management, Supply chain or Finance is required
  • At least 5 years’ experience in Project management, operations or logistics
  • Formwork or construction experience/knowledge is preferable
  • Strong interpersonal, organization and reporting skills along with a strong ability to meet deadlines;

  • Excellent communication skills including conflict management.

  • Hands-on, practically oriented team player
  • Fluent in English (speaking, reading, writing), French language skills are a plus
  • Qualitative abilities including strong analytical skills, technical proficiency and effective problem solving skills
  • Proficient using Microsoft Office applications; willing and able to learn new computer systems, products, concepts and techniques
  • Possesses strong leadsership skills, effectively manages a diverse team and achieves results
  • Able to work as an organized team player in a results-driven, fast-paced environment

This position requires the ability to direct and support the branch operations function and resolve operations related issues on short notice with minimal information.

This position requires the ability to think strategically and analytically.  Able to envision the broader picture and understand the impact of his/her accountabilities as they relate to the entire company.  Position requires the ability to work in a fast-paced environment and the ability to be organized and manages time to meet deadlines.

Working Conditions

Working conditions vary from that of an office environment: dry, cool, and well lit, to outside conditions (equipment yard), high noise level in certain areas and extreme outdoor temperatures.
