Job Description

Summary Of Position

The Branch Support Manager provides organizational and technical services to the branch.  He/she will have direct accountability for the daily administrative and operation support functions in the branch. This position reports to the Area/Branch Manager.  

 

Responsibilities .

  • Handle all office management related tasks; including but not limited to purchasing supplies, establish vendor relationships, in compliance with procurement guidelines.
  • Organize proper maintenance of the facility and addresses all facility issues.
  • Partner with sales, operations, collections and engineering staff to manage customer accounts and projects.
  • Review contracts and load sheets to confirm the accuracy of the products and services sold and rented are in accordance to the terms of the contract.
  • Ensure timely and accurate invoicing of all product sales, rentals and services.
  • Ensure that each project is properly closed out in accordance to contract terms and conditions; including but not limited to confirming all rental material has been returned by the customer and billed accordingly. Where appropriate, ensures proper credits have been issued.
  • Assist the Branch Credit and Collections team to ensure that customer satisfactions is achieved, while improving cash flow by minimizing past due receivables and meeting financial goals set by Area/Branch Manager/ CFO/ CEO.
  • Ensures follow through on “action items” assigned at Credit meetings. Work with Account Managers to ensure assigned actions are carried out on a timely basis.
  • Assist with the month-end closing process.
  • Handle, resolve and address complaint database management for all Sales, Operations and Engineering related customer complaints.
  • Partner with vendors to explore cost savings and negotiates best pricing and services (non-inventory valued items). Continually monitors vendor pricing and service on a regular basis.
  • Review, process and approve vendor invoices for payment (non-inventory valued items).
  • Work with IT Director to manage IT related tasks; i.e., obtaining computers for new hires, etc.
  • Assist with the induction of new hires and other HR related tasks, as required.
  • Prepare analytical spreadsheets for Area/Branch Manager and Account Managers, as required.

Qualifications

Qualifications/Technical Proficiency

  •   HS Graduate or equivalent technical school education.
  •  Bachelor’s Degree in Business preferred.
  •   5 years recent experience in administration, finance or operations a plus.
  •  Facilitate projects and effectively manages multiple tasks.
  •   Excellent communication skills including an excellent command of English (speaking, reading, writing). Able to communicate effectively with all levels of management and staff.
  •  Qualitative abilities including strong analytical skills, technical proficiency and effective problem solving skills.
  •  Computer proficiency including Word, Excel, PowerPoint and Outlook.
  •   Willing and able to learn new products, concepts and techniques.
  •  Organized team player able to work in a deadline driven, results driven fast-paced environment.

Communication

Daily interaction with yard staff, truck drivers and management.

Mental Effort

Position requires the ability to work in a fast-paced environment and the ability to be organized and manage time to meet deadlines.

Working Conditions

Working conditions will significantly vary (extreme outdoor temperatures/inclement weather conditions), high noise level in certain areas. These positions are physically demanding on a routine basis. Regularly required to reach with hands and arms: climb or balance and stoop: kneel and/or crouch.
