Job Description

Role Summary

The Maintenance Planner/Scheduler plays a critical role in improving workforce efficiency by developing, organizing, and coordinating maintenance activities. Effective planning reduces unplanned work, minimizes operational disruptions, and ensures that maintenance tasks are executed safely, efficiently, and consistently. This role focuses on planning and scheduling—not supervising—maintenance activities. The Planner manages work order backlogs, prepares weekly schedules, chairs planning meetings, and ensures all planning elements (materials, labor, tools, documentation) are in place for successful job execution.

Core Responsibilities

1. Planning & Scheduling

  • Review the backlog of unplanned work and select tasks based on priority, target start dates, resource availability, and planning completeness.
  • Chair weekly planning and scheduling meetings, presenting the upcoming week’s schedule and highlighting overdue work with the operation, maintenance and supply chain leaders.
  • Determine whether work should proceed as scheduled or be deferred due to conflicts, incomplete planning, or operational constraints.
  • Follow standardized processes for managing and progressing work orders through each stage of the workflow.
  • Monitor adherence to maintenance processes and report deviations to the Operations Manager or Principal Engineer.

2. Emaint System Management

  • Review Emaint daily reports to ensure accuracy and completeness of work order data, including proper equipment drilldowns, descriptions, and work types.
  • Collaborate with operations and maintenance leaders to correct data deficiencies.
  • Maintain accurate equipment hierarchies, BOMs, specification templates, and craft assignments.
  • Manage PMs and equipment records, ensuring appropriate maintenance strategies are implemented and updated as needed.
  • Extract Emaint data to support decision-making, labor optimization, and reliability improvement initiatives.
  • work with fluke to refine and enhance usability of eMaint x5 and fluke Mobile for technicians.
  • work with IT/helpdesk to deploy/repair technician tablets & accessories.

3. Job Plan Development

  • Ensure work orders contain all required information and are assigned to the correct status.
  • Develop detailed job plans that include scope, step‑by‑step instructions, safety considerations, special tools, materials, labor estimates, and expected duration.
  • Conduct field investigations, engaging with technicians and subject matter experts to validate scope and ensure job plans reflect current conditions.
  • Incorporate quality checks in repair job plans to verify expected outcomes.
  • Ensure unused materials are returned to the storeroom and that all documentation is properly linked.
  • Utilize “Waiting on Material” and work order number references when coordinating special orders.

4. Materials & Resource Coordination

  • Verify storeroom inventory levels, quality requirements, and lead times; act to secure needed materials.
  • Identify kitting requirements and collaborate with the storeroom team to prepare job kits.
  • Coordinate planned work with outages, major shutdowns, and other operational priorities.
  • Provide necessary drawings, documents, and instructions to facilitate job execution.

5. Continuous Improvement & Reliability

  • Identify opportunities to optimize maintenance strategies and convert time‑based tasks into condition‑based activities.
  • Support reliability efforts by analyzing failures, adjusting PMs, and recommending improvements to increase equipment availability.
  • Conduct post‑outage reviews, develop report cards, and implement lessons learned.
  • Challenge the status quo and drive continuous improvement in planning, scheduling, labor utilization, and workflow efficiency.

6. Communications & Reporting

  • Publish weekly reports summarizing scheduled work, completed work, backlog status, RCM metrics, and other key performance indicators.
  • Interface with operations, engineering, contractors, vendors, and management to coordinate work and resolve planning constraints.

7. Vendor & Contractor Management

  • Source parts, obtain quotes, and coordinate repairs.
  • Collaborate with OEMs as needed.
  • Evaluate vendor proposals for accuracy, technical compliance, and suitability.

8. Purchasing Support

  • Partner with the Stores Manager on spare parts management and inventory optimization.
  • Enter purchase requests into Axiom and work closely with accounting to support invoice processing and receipt tracking.

9. Training & Knowledge Management

  • Provide training to maintenance personnel on new systems, processes, and best practices.
  • Maintain and update tribal knowledge documentation to support long‑term organizational learning.
  • Support skill development in alignment, balancing, lubrication, safety, and troubleshooting.

Qualifications

EXPERIENCE & EDUCATIONAL REQUIREMENTS/PREFERENCES:

  • Minimum of 3-5 years of experience planning maintenance activities, and ordering maintenance components and parts.
  • Hands-on experience with the coordination of a preventive maintenance program.
  • Strong functional knowledge of production operations, mechanical troubleshooting, pneumatics, hydraulics, general mechanical equipment/building repairs and maintenance practices; proven planning/organizational skills;
  • Experience with parts inventory and computerized maintenance management systems; extensive knowledge of repair procedures and preventive maintenance;
  • Able to effectively communicate and interact with managers and other plant personnel as well as outside officials and vendors;
  • Good project management and communication skills including the ability to prepare accurate and appropriate documentation.
  • Familiar with company safety standards and requirements.  Experience working with annealing equipment desirable. 
  • Degree in Engineering or Technical Trade preferred. 
  • Experience in a technical or manufacturing environment is a plus. 
  • Experience with metals processing is desired as is a strong technical and mechanical or electrical background.  
  • Proficiency in Microsoft software packages preferred.  The ability to read mechanical and electrical blueprints is a plus. 
  • Candidates should conduct themselves in an ethical and professional manner at all times and have a strong work ethic, the ability to work as part of a team, good communication and organizational skills. 
  • Solid foundation in reliability centered maintenance practices.  Schedules may require working overtime and weekends to complete special projects. 
  • This position must be able to successfully pass a pre-employment background check, physical, and drug/intoxicant screen.

  • This position requires the willingness to respond to calls 24 hours a day, when required.

Additional Information

The salary range for this position is $85,000 to $105,000 annually, paid in weekly increments, dependent on experience, technical expertise, and education.
