Job Description

The 3(16) Account Manager (the “Account Manager”) is responsible for the day-to-day management of an assigned caseload of the adopting employers of a Pooled Employer Plan (PEP). The Account Manager is expected to maintain client relationships, monitor plan operations, and perform plan administrator function on an as-needed basis. The Account Manager also consults internal service team members via email and occasionally by phone on a day-to-day basis.

Core Responsibilities

  • Provide high level of service to clients
  • Interpret plan documents
  • Maintain thorough knowledge of ERISA, IRS & DOL regulations regarding qualified plans including, but not limited to, Pooled Employer Plans
  • Determine employee eligibility
  • Work in collaboration with the Compliance department to calculate annual contributions
  • Prepare Government Forms: 5500 and Related Schedules, 5558, 5330, 8955 and works with plan’s auditor and ability to discuss Forms with the client
  • Identify any necessary software enhancements to facilitate the provision of 3(16) services
  • Trust accounting and reconciliation
  • Review and approve participant requested loans and distribution requests
  • Ensure completion of RMD distributions by designated deadlines
  • Review and approve Qualified Domestic Relations Orders (QDROs)
  • Advise clients on new plan design options
  • Annual year-end clean-up to include follow-up on forfeiture re-allocations and source transfers determined during the compliance review
  • Work with clients to terminate or spin-off a plan
  • Monitor plan contribution deposits and compliance with DOL and IRS deposit deadlines
  • Operate within pre-existing KPI and SLAs set forth by the supervisor
  • Devise and execute on operations to terminate bad actors from the PEP or 3(16) services
  • Maintain an orderly workflow according to priorities

Qualifications

Competencies

 

401k Knowledge - Extensive knowledge of ERISA regulations governing 401(k) and Profit-Sharing Plans (defined contribution). Some knowledge of Pooled Employer Plans preferred.

Strategic - Observes where current trends will lead, and how they many influence the organization’s direction specifically as they relate to new industry regulations.

Customer Focus - Focuses on internal and external customers at all times. Has the ability to discuss all plan-related matters with clients. Takes customer’s feedback to find new ways to improve. Emphasizes a team approach to providing great customer service. Seeks customer feedback and ensures needs have been fully met.

Communication - Uses appropriate and effective language used for any given situation and actively engages in conversations to understand others’ message.

Accountability - Takes personal responsibility for the quality, accuracy, and timeliness of work, and achieves results with little oversight.

Integrity - Ability to ensure high standards of quality control over department processes to promote accuracy and accountability and minimize operational risk.

Skills + Experience

  • Minimum of 8 years experience in retirement industry compliance role
  • Four-year BS/BA Degree
  • Extensive knowledge of non-discrimination testing, annual form 5500 preparation and filing, and annual benefit calculations
  • Working knowledge of compliance testing software, 5500 software and tools
  • Comfortable multi-tasking and troubleshooting complex situations
  • Strong attention to detail and high degree of accuracy
  • Ability to diagnose problems and produce solutions
  • Ability to flex between working autonomously and as part of a team
  • Excellent follow through and communication through email, phone, and in person
  • Basic understanding of ASC (Actuarial System Corporation) 5500 and valuation software preferred
  • 3(16) Fiduciary Services knowledge preferred
