Job Description

UNIFIED-HIV Health and Beyond seeks an experienced, forward thinking OperationsCoordinator with the business, administrative and interpersonal skills necessary to oversee theday-to-day operations of UNIFIED-HIV Health and Beyond.

The Operations Coordinator is responsible for overseeing budgeted funds across multiple grant funded programs while ensuring compliance with funder requirements and federal regulations.Maintains complex tracking and filing systems, including Excel spreadsheets. A critical aspect of this position is the smooth flow of information among multiple staff to ensure that all areas are provided necessary information.

  • Create and maintain Excel spreadsheets that support the monitoring and coordination of funds across multiple programs.
  • Develop, adjust and monitor budgets/expenditures in coordination with program Directors and Managers.
  • Review and approve requests for payment of contracted goods and services and all
  • internal costs incurred in accordance with funding source requirements prior to forwarding to Managers/Director for approval.
  • Exercise tact and initiative in communicating with internal staff and various external agencies and organizations.
  • Assist with research, prepare analyses of information and financial data.
  • Create, format and proofread a variety of materials including: correspondence, meeting notes, agendas, policies and procedures, templates and emails.
  • Oversee the development and revision of internal policies and procedures. Provides necessary training to staff and maintains related records.
  • Is familiar with all conditions of grant awards, and is comfortable prompting management regarding due dates.
  • Adhere to policies and procedures for financial monitoring and reporting.

Qualifications

  • Experience providing high-level administrative coordination
  • Experience with grant funded programs and budgets
  • Specific training and experience in Excel, PowerPoint and other commonly used software.  
  • This person must have the ability to perform mathematical calculations, and to proofread written documents for accuracy.
