Job Description
Who are we looking for?
PERMANENT
Working with talented and interesting people tackling the climate emergency and expanding needs for electricity across the world. This role helps with administration and support for the Computing Division at UKAEA which is using exciting new computing tools to help design new fusion power plants. This is a people focused role helping the division run efficiently and enable our staff to maximize their creativity. The role requires an appropriate administration or secretarial qualification, strong interpersonal skills and a drive to get things done and help people. The team is part of the Computing Directorate in the Computing Division.
Note : Hybrid working/Flexible Working is supported with an expectation of 3 – 5 days and /or shorter working days (10 am to 3 am) working on-site at Culham.
What will you be responsible for?
- Organize one or more manager's diaries, arrange travel, training courses, meetings, site visits, and a variety of other activities using the tools and systems provided.
- Co-ordination of email, written, and verbal communications prioritizing as appropriate. Co-ordinates, and may draft, correspondence for internal and external contacts. May prepare agenda and minutes of various meetings and committees either on or off-site as required. May monitor meeting outcome progress, identifying follow up actions needed.
- Provide accurate up-to-date information and maintain records through the use of essential databases, spreadsheets and paper-based systems. Checks for accuracy, consistency, error, omissions, resolving anomalies when identified. Following existing internal and external processes and adapting to new systems and processes in line with organisational development.
- Provide travel booking and event planning services for members of the division. This includes organizing UK and international travel and planning workshops, meetings and events for the Computing Division.
- May co-ordinate the meeting and greeting, hosting of, internal and external visitors from a wide variety of organisations and locations around the world. The provision of support for events.
- May make purchases on behalf of the department/division, as instructed and in line with financial derogation. Checking authorizations and receipts against spend, highlighting any concerns.
- May support the recruitment process by arranging interviews, meeting and greeting candidates, processing interview expense claims forms, and other recruitment admin support as required. Using the recruitment tools provided which may be electronic or paper based.
Qualifications
Essential skills, experience and competence required
- An appropriate qualification in administration or secretarial skills
- Demonstrable administrative experience
- Strong interpersonal and communication skills
- Excellent computer skills with the ability to use the Microsoft Office Suite
- Proven ability to cope with multiple tasks and priorities appropriately
- Strong Organizational, people and time management skills.
- Experience using Database and Record Keeping Systems.
Desirable skills, experience and competence
- Display Screen Equipment Assessor for Computing Division
- Fire Marshall as and when necessary
- Data processing using the ELECTRA information management system
- Deal with Visitors and support events and workshops.
