Job Description

This role will support the day-to-day operations of the Work Transformation and Career Experience teams reporting to two VPs but supporting the entire team. Through this role, you will participate in all aspects of what we do and while there are some administrative responsibilities we are looking for someone who wants to grow a career in the People Team, get more involved in the work that we do and be a part of executing on that. Here’s what you will do.

  • Manage two VP calendars and support senior leadership meetings within their teams.

  • Manage and track all VP travel.

  • Facilitate leadership meetings by structuring agendas, taking notes, and organizing work streams.

  • Work across the teams on content for All Hands and IC Meetings.

  • Manage global calendars, org charts, and internal people team site- updating as needed.

  • Improve and maintain our internal pages.

  • Distribute team surveys and analyze responses - make action plans and suggest solutions.

  • Assist with business license process as required. 

  • Partner with Strategy and Operations teams to ensure seamless partnership and execution.

  • Provide remote support to distributed offices and remote employees as we chart the future of work!

  • Support internal events and new office projects and refreshes.

  • Ensure consistency of global processes and procedures (eg. playbooks, Certificates of Insurance, emergency contact information, Desktop Procedures.) 

  • Maintain team Google Drives and Box 

  • Plan team summits and off-sites. 

  • Provide support to the Future of Work Innovation team organizing collaborations with universities, think tanks, and planning Spaces/podcasts.

  • Assist with the purchase order (PO) process as required. 

  • Maintain team onboarding guides, general team specific resources and tool access 

Qualifications

  • Ability to adapt to changing priorities and timelines.

  • Highly organized and able to prioritize work across numerous projects at the same time

  • Bias for action, excellent attention to detail, and relentless commitment to follow-through

  • Aptitude in clear communication, both verbal and written
