Job Description

  • Support the implementation and maintenance of project EHS procedures, processes, and governance requirements.
  • Maintain EHS records, registers, databases, and documentation in accordance with project and client requirements.
  • Assist with the coordination and administration of site inductions, training records, competency tracking, and contractor onboarding.
  • Ensure EHS documentation is current, accurate, and readily available for internal and external audits.
  • Support the preparation and submission of EHS reports, statistics, KPIs, dashboards, and other project performance metrics.
  • Assist in the administration and tracking of corrective actions, observations, near misses, incidents, and safety initiatives.
  • Maintain action tracking logs and support follow-up activities to ensure timely close-out of actions.

Project & Contractor Support

  • Coordinate contractor pre-qualification documentation and maintain contractor databases.
  • Assist with the review, filing, and management of contractor compliance records, certifications, and permits.
  • Support communication between project teams, contractors, consultants, client representatives, and other stakeholders.
  • Attend project meetings where required and maintain meeting minutes, action logs, and status updates.
  • Assist with project document control, filing, archiving, and record management processes.
  • Support EHS personnel during risk assessments, safety reviews, audits, inspections, and investigations.

Reporting & Systems Administration

  • Enter, maintain, and update information within project management and EHS reporting systems.
  • Generate routine and ad-hoc reports for project management, client stakeholders, and the EHS team.
  • Assist with incident reporting, corrective action tracking, and lessons learned documentation.
  • Support the management of procurement-related administrative activities, including purchase requisitions and invoice coordination where required.
  • Maintain databases to ensure accuracy, completeness, and compliance with project standards.

General Administrative Support

  • Prepare presentations, reports, meeting packs, and project documentation.
  • Assist with the coordination of project events, workshops, safety campaigns, and training sessions.
  • Perform general administrative duties to support the successful delivery of the project.
  • Provide flexible support across the wider project team as project requirements evolve.

Qualifications

  • Excellent organisational and administrative skills with strong attention to detail.
  • Experience supporting EHS, construction, engineering, industrial, manufacturing, or infrastructure projects.
  • Strong written and verbal communication skills in English.
  • Ability to manage multiple priorities and work effectively in a fast-paced project environment.
  • Proactive approach with strong problem-solving abilities.
  • Excellent interpersonal skills and the ability to build effective working relationships with stakeholders at all levels.
  • Strong data management, record-keeping, and reporting capabilities.
  • Experience working with EHS management systems, document control platforms, or project management systems is advantageous.
  • Advanced proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.
  • Experience using SAP or similar enterprise systems would be beneficial.
