Job Description

We are seeking a highly organized and detail-oriented Project Coordinator to support the successful delivery of projects by providing administrative, coordination, and reporting support to Project Managers and project teams. This role is critical in ensuring project activities are effectively coordinated, documentation is maintained, and communication flows smoothly across stakeholders.

The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to managing multiple priorities in a fast-paced project environment.

 

  • Support Project Managers with day-to-day project administration.
  • Schedule meetings, prepare agendas, record meeting minutes, and distribute action items.
  • Maintain project calendars and coordinate project-related activities.
  • Maintain and update project documentation, including project plans, schedules, reports, registers, and status updates.
  • Ensure project records are accurate, organized, and easily accessible.
  • Support document control and filing processes.
  • Coordinate project tasks and activities across team members.
  • Track assigned actions and follow up on deliverables and deadlines.
  • Assist in ensuring project milestones are achieved on schedule.
  • Act as a communication liaison between project teams, stakeholders, and other departments.
  • Assist with the preparation of project correspondence, reports, presentations, and announcements.
  • Facilitate effective communication across project teams.
  • Monitor project progress and key milestones.
  • Update project management systems and maintain accurate project records.
  • Prepare regular progress reports and highlight potential delays or issues to the Project Manager.
  • Assist with tracking project resources, equipment, and material requirements.
  • Support project expense tracking and the preparation of basic budget reports.
  • Monitor resource availability and escalate shortages where required.
  • Identify and report potential project risks, issues, and roadblocks.
  • Escalate concerns to the Project Manager and support the implementation of mitigation actions.
  • Promote collaboration and coordination among project team members.
  • Support project delivery activities and contribute to a positive team environment.

 

Qualifications

  • BEng, Diploma, Vocational Degree, or equivalent qualification.
  • CAPM Certification or equivalent project management certification.
  • More than 5 years of professional experience.
  • Minimum 3 years of experience supporting projects within airport, live operational, or major infrastructure environments.
  • Regional (Middle East) experience is preferred.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Proactive problem-solving mindset and ability to work independently.
  • Strong interpersonal skills and ability to work effectively within multidisciplinary teams.
  • Proficiency in project management and collaboration tools.
  • Advanced Microsoft Office skills, particularly Excel, Word, PowerPoint, and Outlook.
  • Experience with project documentation, reporting, scheduling, and progress tracking.
