Job Description
Job Title: Associate Director

- Lead the Cost Management team on designated client commissions, ensuring the team fulfils all responsibilities listed in MSA, including planning, budgeting, execution, and compliance, using Hive Platform. Manage overall cost management throughout the construction phase for multiple projects, ensuring adherence to budget and timelines.
- Engage with clients, stakeholders, and consultants throughout all project phases, ensuring clear communication, prompt issue resolution, and collaboration, using Microsoft Teams for meetings and Microsoft Suite including PowerBI for reports and updates.
- Identify and evaluate opportunities to enhance cost management procedures, templates, and processes implemented on the commission including analyzing existing templates and reviewing the process workflows used in client’s system for cost management including E-Builder, Procore and SharePoint.
- Ensure key information and insights from each project are meticulously documented. Implement standardized procedures for data entry and knowledge dissemination, including SOPs, tracking logs, and detailed reports, to facilitate sharing with stakeholders for continuous improvement and informed decision-making.
- Identify and implement enhancements in internal systems and processes, with a focus on Cost Benchmarking and Market Rates analysis across all projects within the commission. Conduct comprehensive reviews to identify inefficiencies, develop innovative solutions, and ensure the adoption of best practices. Collaborate with team members and stakeholders to drive continuous improvement and optimize project outcomes.
- Lead the development of proposals for new work or modifications to existing projects, including needs assessments, data analysis, collaboration with cross-functional teams, and presenting detailed scopes, timelines, budgets, and resource plans to clients and stakeholders.
- Input into the formal management of staff and recruitment interviews. Provide input on hiring decisions, performance evaluations, and professional development plans. Assist in onboarding new employees, ensuring a smooth transition into their roles. Support conflict resolution and foster a positive work environment. Contribute to strategic planning and organizational development initiatives.
- Conduct staff performance reviews by evaluating employees' job performance, skills, and contributions. Provide constructive feedback, set goals, and develop personalized development plans. Ensure the process is transparent, fair, and aligned with strategic objectives by establishing KPIs for the team based on their career goals and commission needs. Encourage continuous improvement and professional growth through regular check-ins and open communication.
- Oversee finance for the commission by keeping track of ongoing margin levels and monthly fee/resource forecasts for each project. Perform activities including budget planning and forecasting with Excel and Power BI, expense management with SAP Concur, and timesheets and invoicing using tools including D365. Ensure compliance with client requirements by meeting the accounting deadlines set forth in the contract.
- Review and collaborate with the design services team and general contractor in developing comprehensive cost estimates using CostX including participating in detailed discussions, analyzing design documents, and ensuring all cost elements align with clients’ standards. Provide feedback on cost-saving opportunities and potential risks, ensuring the estimates are accurate and reflect the project's scope and quality requirements based on the data generated in other projects.
- Reconcile changes during the planning phase and assist the client on projects in ensuring the accuracy of their data by tracking changes across projects on the commission, using benchmarking information to compare project data against industry standards, analyzing market rates with RS Means, generating detailed reports with recommendations by collaborating with other stakeholders per contractual obligations.
- Ensure adherence to quality standards and actively participate in both internal & external audits including ISO audits. Perform spot checks on the service delivery recommendations, folder structure, benchmarking information and collaborate with cross-functional teams, including finance, operations, and project management, to ensure compliance requirements are met.
- Communicate or meet regularly with the owner's project managers to gather detailed status information of different projects in the commission to discuss progress updates, identify any changes or issues that may impact costs, and reviewing current expenditures. Prepare a comprehensive cost estimate update, ensuring it accurately reflects the project's status and anticipated future expenses.
- Prepare written comments on the general contractor’s submissions, including the executive summary. Coordinate all sources of cost information for discussions, including data from subcontractors, and quantities from architects/engineers. Administer change order reviews and negotiations by validating cost estimates, takeoffs, and schedule data, ensuring timely and accurate cost checking and valuation processes.

- Provide cost management services for projects;
- Perform forecasting, budgeting, planning, design, scheduling, and scope management;
- Coordinate the procurement process for new projects under this project portfolio;
- Provide cost reporting;
- Review monthly application of payment on an actual cost-plus basis by verifying that all costs are allowed under the contract prior to submission to client payment systems;
- Provide monthly updates on the portfolio dashboard on the project data;
- Perform change management by evaluating and recommending approval and/or rejection of the cost of proposed changes and tracking change orders.
JOB TIME: Full Time
SALARY RANGE: $185,000.00 TO $188,000.00/year
Qualifications
EDUCATION AND EXPERIENCE REQUIREMENT: Requires a Bachelor’s degree in Civil Engineering and 6 years of experience in job offered or 6 years of experience in the Related Occupation.
