Job Description

Office Administration, Reception & Business Support

  • Manage vendor onboarding, purchasing, invoicing and cost tracking.
  • Coordinate room bookings, car bookings, Virtual Credit Card (VCC) requests and general workplace logistics.
  • Oversee office environment, facilities and maintenance coordination with the landlord.
  • Arrange corporate travel, itineraries and all required documentation.
  • Manage corporate memberships and renewals.
  • Provide first‑level IT support, troubleshoot issues and escalate to IT when needed.
  • Manage company vehicle requirements including annual WOFs and maintenance.
  • Maintain SharePoint structure, permissions, metadata and document accessibility.
  • Follow up on operational, financial and governance reporting requirements across business units.
  • Support business collateral creation including bids, case studies and resources in the HIVE library.

People, Onboarding & Training

  • Coordinate new starter onboarding, training schedules, system setups and induction documentation.
  • Provide initial system support for new employees and maintain induction materials.
  • Develop and deliver training for systems, internal processes, D365, SharePoint and the BMS.
  • Support employees with D365 tasks such as leave requests, expenses and timesheets.
  • Manage offboarding including system access removal and knowledge capture.

CSR, Community & Staff Engagement

  • Lead CSR planning including approvals, risk assessments, communications and participation coordination.
  • Track outcomes, measure impact and report on CSR and community activities.
  • Coordinate logistics for corporate, social impact and community partnership events.
  • Plan and deliver staff events including financial approvals, promotion and outcomes reporting.

Business Development & Corporate Collateral

  • Provide bid coordination support as required.
  • Maintain case studies, CVs, business collateral and coordinate corporate photography.
  • Ensure all collateral is accurate, up‑to‑date and easily accessible.

Risk, Quality & Compliance Management

  • Lead internal audits and support ISO accreditation cycles and ongoing certification readiness.
  • Conduct system and project audits for new work, active projects and high‑risk initiatives.
  • Manage the System Improvement Register (SIR), tracking corrective actions and improvements.
  • Support quality programmes including Client Care, CDA and Risk Management.
  • Manage sustainability reporting and environmental performance requirements.

Health, Safety & Environmental (HSE) Governance

  • Maintain the BMS planner, WHS records, risk registers, fire safety and emergency management plans.
  • Coordinate WHS training, inductions and compliance documentation.
  • Review and update emergency procedures to ensure ongoing readiness.

Project & Technical Administration

  • Provide administrative and systems support to project teams including D365 project setup, client onboarding, intercompany agreements, purchase orders and invoicing.
  • Maintain data accuracy, documentation workflows and communication to support successful project delivery.
