As a Document Manager, you work within a multidisciplinary project team, you are responsible for the project, from design to delivery, as part of a Data Center project. 
 
Missions: 

  • Document Management: Organizing, categorizing, and controlling all site-related documents, ensuring easy retrieval and accessibility. Managing the creation, review, and approval of commissioning and qualification documents, ensuring alignment with project requirements. Facilitating the workflow of documents through the approval process, including managing electronic approval systems and ensuring timely reviews. 

  • Version Control: Implementing a robust version control and maintaining accurate versions of documents to ensure compliance with regulatory standards and facilitating updates as required. 

  • Quality Compliance: Ensuring documents meet quality standards, regulatory requirements, industry standards and Good Documentation Practices (GDP). 

  • Collaboration: Working closely with cross-functional teams to gather, update, and disseminate information accurately. 

  • Training Support: Assisting in the development and implementation of training programs related to document control processes. 

  • Audit Support: Preparing and providing documentation for internal and external audits, ensuring compliance, and addressing audit findings. 

  • Communication: Facilitating effective communication regarding document-related processes and changes within the organization. 

  • Continuous Improvement: Identifying opportunities for process improvement within the document control system to enhance efficiency and compliance and adherence to best practices. 

  • Maintaining the integrity of documentation, ensuring that processes adhere to quality standards and regulatory guidelines. 

  • Manage ACC access & permissions. 

  • Coordinate, attend and record with meeting of minutes all related meetings. 

  • Keep up to date the access & permissions tracking. 

  • Work closely with the BIM Manager to comply with the project filing structures and requirements. 

  • Develop and keep up to date TIDP (Task Information Delivery Plan) as required. 

  • Control, review and report TIDP status based on scheduled deliverables. 

  • Setup approval workflows as agreed with the project stakeholders. 

  • Version Control to ensure that the most recent versions are available to team members. 

  • Review naming convention files to comply with the project requirements. 

  • Coordinate with the Project management team to track and update the project execution plan (PEP) as required. 

  • Approve / Reject documents not complying with the project Naming Convention Standards 

Qualifications

  • You have at least 3 years of experience in Data center construction projects preferably. 

  • Graduate of an engineering school or similar Bac+5 training. 

  • You are flexible, autonomous, you work proactively and structured, you know how to take initiatives to advance the projects in which you are involved. 

  • You know how to develop good working relationships with multicultural and multidisciplinary project teams. 

  • Excellent communication and interpersonal skills. 

  • Tenacity and desire to create added value and propose solutions. 

  • Excellent communication skills in FRENCH and ENGLISH (oral and written).
