The Bristol office at Temple Point, is located close to Bristol Temple Meads Station and the city centre. The office is one the company’s most successful and fastest growing regions employing over 600 staff. The SW region is made up of Bristol as the hub with satellite offices in Plymouth and Cardiff. The Bristol admin team is based in Bristol office and remotely supports Cardiff and Plymouth. There is some requirement to travel to the satellite offices as necessary but infrequently.

Job Description

Turner & Townsend are looking for a full-time Business Assistant to lead our existing team of administrators (currently four) based in the Bristol office and manage the SW offices.
Reporting to the regional Strategic Lead, the role of the Business Assistant has some flexibility to work from home but is predominantly an office based role. The successful candidate will be able to demonstrate their ability to work in a close-knit team but also complete tasks independently and to deadlines. The role will suit a high calibre individual who is looking for a varied and challenging role.

Working hours will be 37.5 hours each week. Some flexibility would be beneficial when required by deadlines, meetings and events.

Key Responsibilities

  • Day to day management of SW offices: managing suppliers – consumables and maintenance; office finance reporting; Health & Safety representative, fire warden, first aider; Landlord relationship management; environmental reporting responsibilities
  • Line management of team of administrators including delegation of tasks and processes for the admin team.
  • Ownership of operational procedures for admin processes: travel requests, event requests
  • Carry out weekly New Starter inductions and IT set up for all SW new starters. Including introduction to intranet, HR and IT systems and software, timesheet & expense system, online training portal.
  • Collate and run monthly Regional Leadership operations meetings: reporting on office attendance and usage; collate support services updates for Admin, Business Generation and Security teams; regional and team specific external and internal events; summary of T&T internal people initiatives.
  • Event management internal and external meetings and events, either client or T&T employee functions – townhalls, Christmas parties, team away days.
  • Write regional communications regarding office management, events, attendance, cascades from Landlords, Health & Safety, environmental awareness.
  • Occasional travel to support Plymouth and Cardiff office – IT and office equipment maintenance and set up, provision of stationery and consumables when needed.
  • Raising Purchase Orders, completing supplier invoice processes and other business unit finance related processes within Dynamics365 finance software.
  • Responsibility for internal audits and BSI compliance for all SW offices regarding environment, Health & Safety, Business Management System compliance.
  • Business Management processes for Regional Teams and SharePoint set up, use and knowledge sharing.
  • Some PA support and diary management to senior Directors on ad hoc basis.

Qualifications

This position would ideally suit someone with at least 5 years’ experience in a similar senior role.

Essential Skills

  • Proven experience in team management and people development.
  • Proactive and approachable, well organised, innovative and a strong communicator.
  • Excellent knowledge of Microsoft Word, Excel, PowerPoint and Adobe. Good experience and skills in proof-reading, collating documents, including formatting and sense-checking.
  • Strong experience in supporting and influencing business (operational, finance and governance) processes through stakeholder management and leadership.
  • High attention to detail and proactive approach to problem solving.
  • Ability to learn new procedures and software quickly.
