Job Description

  • Assesses the organization’s need for volunteers and provides volunteer resources to support the mission of MelroseWakefield Healthcare. Works with managers of all departments to develop new roles and job descriptions for volunteers. Oversees the work, documentation and files for over 100 system-wide volunteers.
  • Collaborates with department managers to effectively use the volunteer resources available, matching the talents and preferences of the individual volunteer to the needs of the department. Considers the abilities, limitations, and availability of the volunteer in order to make the most appropriate placement.
  • Sources, interviews and screens potential volunteers prior to placement, using the volunteer application process and forms, previous references, and face to face meetings to ascertain the best fit for the organization.
  • Collaborates with Human Resources to follow all applicable laws around hiring procedures, documentation, background checks, and health screening. Ensures that all new volunteers obtain badges and attend the mandatory orientation program. Stays up to date on policies regarding safety, confidentiality, HIPAA compliance, infection control, and standards of conduct.
  • Maintains current job descriptions for volunteers. Works with managers to develop and amend job descriptions. Arranges for department managers to meet with volunteers and go over specifics of the applicable roles in their areas.
  • Responsible for recruitment of volunteers, using techniques such as, but not limited to, the following: press releases, contact with community organizations and leaders, collaboration with local school guidance departments, communication in church bulletins. Evaluates referrals from local courts for people required to do community service, day treatment facilities, group homes or other community based service agencies.
  • Oversees record management for all volunteers, including personnel files, documentation of volunteer hours, applicable training and periodic evaluations. Researches ways to improve such documentation through software programming such as Volgistics.
  • Writes policies that are unique to the Volunteer Program but compatible with MelroseWakefield Healthcare policies and procedures, such as policies governing the hiring process, disciplinary action, dress code, and standards of conduct. Enforces policies.
  • Manages Teen Volunteer Program for MelroseWakefield Healthcare, recruiting and mentoring teens, especially those who are service oriented or interested in exploring a career in healthcare. Develops placements for and encourages teen involvement. Conducts on-going evaluation of the teen volunteer program, sourcing new and meaningful roles for them. May provide letters of recommendation for college or future career growth.
  • Implements volunteer appreciation activities such as luncheons or social gatherings during National Volunteer week. May select gifts to distribute to recognize service milestones. Administers the meal voucher program for volunteers, assuring that policies and procedures are followed. Sends greeting cards to volunteers for special occasions such as birthdays or holidays and times of illness.
  • Offers assistance to various hospital initiatives such as assemblage of patient informational folders and welcome brochures. Facilitates the book cart program for patients, and various “giving” programs such as baby quilts and hats, toy drives, etc.
  • Responsible for cash management and reconciliation, sales management, financial reporting, compliance with fire and safety codes and procedures, and ensuring adherence to system-wide policies and practices. Implement and establish systems to measure and track performance of gift shop. Review, select, and purchase shop merchandise. Determine optimal pricing levels for merchandise, including markups and markdowns, to achieve maximum profits and turnover, ensure security and consistency in product availability, and help in determining “best sellers.” Manage, monitor, and maintain vendor relationships. Keep current with industry standards and best practices through industry trades and publications, seminars, and other resources. Ensure gift shop appears professional and attractive and that upkeep is consistently maintained. Regularly set up and organize merchandise displays. Maintains a visible presence in the gift shop and provides support to the supervisory team and staff, as needed.

Qualifications

EDUCATION:

  • Bachelor’s degree or equivalent experience.

EXPERIENCE:

  • Three to five years in customer service roles.
  • Experience working with volunteers a plus.
  • Prior supervisory experience required.
  • Retail, merchandising experience required.

SKILLS/ABILITIES:

  • Superior written and communication skills. 
  • Public speaking ability as well as ability to work with people of all ages, from teens to elderly in a supervisory capacity. 
  • Computer skills, specifically Excel and PowerPoint.
