Job Description

The Human Resources Coordinator (HRC) is responsible for the day to day administrative functions of the HR office. The HRC also partners with the Human Resource Onboarding Coordinator to ensure efficacy with onboarding all new staff members. This position will oversee the front desk of the Human Resources’ office.  

Essential Duties & Responsibilities

  • Uses various software programs to initiate background checks and references. Monitors the completion of all pre-employment checks.
  • Assists with in person onboarding for all new hires prior to their orientation and follows through with all appropriate paperwork for new hires. Ensures all documentation is complete prior to the start of orientation.
  • Assists in arranging appointments for new hires to be cleared by Occupational Health, follows up on final clearance as appropriate.
  • Creates new employee hard copy personnel files. Responsible for developing and maintaining an effective filing system.
  • Assists internal and external applicants with general employment information.
  • Acts as HR receptionist and initial contact for job applicants, employees, and any office visitors. Assists applicants with questions and guidance regarding on-line application and/or transfer process. Assists employees with general employment or benefit questions. Directs questions to appropriate resource.
  • Assists HRBP and Employee Relations Lead with administrative tasks as requested
  • Answers, screens, and directs phone calls as appropriate. Maintains a good understanding of employment laws, HR policies and procedures and MelroseWakefield Healthcare benefit practices to answer / triage calls.
  • Maintains an adequate supply of all forms, including but not limited to documents relating to new hire employment. Collates and creates new hire packets.
  • Manages verbal and written external requests such as verification of employment and internal requests such as name changes, address changes, direct deposit, credit union, etc. Expedites requests from legal entities to copy employee files and maintains contact with MWHC legal department to make sure these are distributed appropriately.
  • Orders supplies from WB Mason for Human Resources and assists in care of department equipment. Opens, reviews, and distributes mail in the HR office.
  • Deals discreetly with large amounts of sensitive and confidential information. Maintains confidentiality.

Other Duties & Responsibilities

  • Provides general administrative support to other HR functions.
  • All other duties as assigned.
  • This is a part-time opportunity.

Qualifications

EDUCATION

  • High school diploma or equivalent required. Some college courses completed, or Associates degree strongly preferred; Relevant experience may be considered.

EXPERIENCE

  • 1-3 years clerical/administrative experience.

SKILLS/ABILITIES

  • Professional demeanor with excellent verbal and written communication skills required.
  • Strong email, internet and Microsoft Office skills required.
  • Applicant Tracking System (ATS) experience preferred.
  • Proven ability to work with various software programs.
  • Must be able to multi-task and adhere to deadlines. Strong demonstrated organizational skills required.

This position is located at Lawrence Memorial Hospital in Medford.
