Job Description

Tufts Clinical and Translational Science Institute (CTSI) (https://www.tuftsctsi.org/), one of more than 60 organizations supported by NIH Clinical and Translational Science Awards (CTSAs), was established in 2008 to transform the scientific research process through education, collaboration, and provision of infrastructure services. Tufts CTSI accelerates translation of laboratory research into clinical use, medical practice, and health policy.

The Project Coordinator will work closely with leadership of the Tufts CTSI Biostatistics, Epidemiology, and Research Design (BERD) Center and the Center for Clinical Trials (CCT) to support general operations, faculty and staff activities, and special projects. Key responsibilities include: organizing meeting and event logistics, and tracking project activities ensuring assignments and milestones are completed on time. This position will also provide administrative and clerical support, with an emphasis on collecting, organizing, and managing project information and data.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Collect and manage data and program information for proposals, reports, presentations, and evaluations.
  • Connect internal and external customers with information and staff contacts.
  • Coordinate tracking of service requests and projects; ensure accuracy of the data associated with these requests. Manage email inquiries regarding BERD and CCT services; refer clients and colleagues to other services as appropriate. Implement workflow and triage processes for management of client requests. Coordinate with leadership to ensure a timely response to clients and efficient use of staff time.
  • Manage weekly Drop-In schedule, tracking, and correspondence.
  • Assist leadership with preparation of reports, presentations, correspondence, and data tracking activities. 
  • Serve as liaison with other Tufts CTSI groups (e.g., Informatics, Finance, Research Navigators), Tufts CTSI collaborators and clients, and various internal and external institutional entities (e.g., IRB, Research Compliance, Information Technology, etc.).
  • Manage on-site and virtual events and meetings, including scheduling and logistical arrangements, serving as liaison to presenters/invitees, agenda preparation, materials distribution, minutes, follow-up, media, and audio-visual needs.
  • Support program education and training activities including hosting virtual and in-person events and seminars, communication with presenters and attendees, managing registrations, and managing content in the Tufts CTSI learning management system, I LEARN.
  • Assist with recruiting and hiring efforts including advertising positions, scheduling interviews, and working with the Tufts Medical Center Human Resources Department to coordinate logistics.
  • Assist in on-boarding new staff, providing training where applicable.
  • Assist with travel expense reports and reimbursement documentation.
  • Maintain collaborative, team relationships with peers and colleagues to contribute effectively to the achievement of goals and to help foster a positive work environment.
  • Perform other similar and related duties as required or directed.

JOB KNOWLEDGE AND SKILLS:

  • Keen attention to detail is essential.
  • Excellent interpersonal skills to work effectively with researchers, colleagues, administrators and customers.
  • Knowledge of Microsoft Office Suite (Access, Excel, PowerPoint, and Word), Adobe Acrobat, Videoconferencing, and other computer software is required. Must be facile with Excel and PowerPoint. Experience with cloud content management and file sharing software like BOX.
  • Excellent data management skills; ability to perform data retrieval, queries, and formulas utilizing Excel. Familiarity with relational databases desirable.
  • Excellent organizational skills to manage work flow independently. Ability to prioritize quickly and appropriately.
  • Ability to work on multiple ongoing projects.
  • Ability to effectively process highly detailed information and present data in reports.
  • Knowledge of routine office and computer equipment for troubleshooting, including fax machines, copiers and scanners.

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Consistent with a normal office work environment. Work requires frequent continuous typing/computer keying, telephone use, and sitting for extended periods.
  • This is a grant-funded position through April 30, 2023 with the possibility of renewal.

Qualifications

EDUCATION:

  • Bachelor’s degree required.
  • Training and experience in database reporting, data entry desirable.

EXPERIENCE:

  • Two or more years of experience in an academic or medical research setting highly desirable.

An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.
