Job Description

GENERAL SUMMARY:

Tufts Clinical and Translational Science Institute (CTSI) (www.tuftsctsi.org/), one of more than 60 organizations supported by the National Institutes of Health (NIH) Clinical and Translational Science Awards (CTSAs), was established in 2008 to transform the biomedical research process through education, promoting collaboration, and the provision of research infrastructure and support services. Tufts CTSI accelerates the translation of laboratory research into clinical use, medical practice, and health policy. In addition to its work with Tufts University, Tufts Medical Center, and other partner organizations, Tufts CTSI contributes to the national CTSA Consortium.

Tufts CTSI seeks an enthusiastic, well-organized, and resourceful individual with experience in research and university or academic health center management to help lead, as Executive Director, the strategic implementation of the organization’s mission and to plan and lead day-to-day operations for this cross-university organization. The Executive Director will oversee the implementation and ongoing operation of Tufts CTSI including all management processes and systems, communications, business and finance, organizational performance tracking, and customer relations. The Tufts CTSI grants portfolio includes UL1, KL2, K12, and TL1 awards, as well as, a variety of supplemental federal awards with overall program income including grant funding, service center revenues, and tuition. With operations based at both Tufts Medical Center and Tufts University, the Executive Director will oversee activities of 10-12 direct reports and approximately 75 mostly full-time staff across 16+ service and education programs. The Executive Director will work closely with, and be part of, the Tufts CTSI Senior Leadership Team. This role reports directly to the Tufts CTSI Dean who reports to the Tufts University Provost, and is responsible for overall operations. 

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Support the Tufts CTSI Dean, Associate Directors, and other senior leaders to fulfill organizational mission and NIH requirements.
  • Ensure the quality and efficiency of Tufts CTSI research resources and services. Create and maintain a service-centered organizational culture.
  • Lead all administrative, financial, and day-to-day operations. Establish and implement Standard Operating Procedures, organizational policies, and best practices.
  • Oversee data collection and analysis to inform executive decisions, resource allocation, program evaluation, and reporting, and to support continual improvement.
  • Meet Tufts CTSI budgeting and financial objectives working with service center leaders and the Tufts CTSI Business and Finance team.
  • Maintain compliance with hospital, university, state, and federal guidelines.
  • Oversee all grant submissions, pre- and post-award grants management, and subcontracting.
  • Lead Tufts CTSI reapplication efforts including strategic planning, organizing writing teams, writing administrative narratives, editing narratives, data collection and reporting, graphics, budget development, subcontracting and pre-award grant management activities.
  • Manage the development and implementation of IT and other infrastructure projects.
  • Oversee all space and facilities issues, IT support, telecommunications, and videoconferencing facilities.
  • Lead critical internal and external administrative and operational meetings and events.
  • Direct all aspects of essential reporting including the annual progress report for NIH, Tufts CTSI Founders Committee, Financial Oversight Committee, Steering Committee, and other internal and external reports.
  • Oversee planning and execution of the annual External Advisory Committee meeting including all logistics and communications. Support program teams to develop and deliver written and oral progress reports.
  • Collect, organize, synthesize data and information, and disseminate findings to diverse stakeholders. Prepare and present written reports and presentations including graphs, figures, and tables, for Tufts CTSI partners, senior leaders at Tufts University and Tufts Medical Center, and for NIH.
  • Oversee senior staff directing/managing diverse areas including operations, business and finance, communications, IT, project management, research study design, and clinical research operations.
  • Supervise staff recruitment and hiring, onboarding, performances reviews, professional development, and employee satisfaction.
  • Liaise with Tufts leadership to support integration with, and responsiveness to, Tufts University and Tufts Medical Center needs and priorities.
  • Represent Tufts CTSI on national CTSA Consortium committees.
  • Solve problems, respond to unexpected events, and manage competing priorities.

JOB KNOWLEDGE AND SKILLS:

  • Proven ability to develop and track business plans, budgets, resource allocation, and performance and financial reports.
  • Strong budget and management skills required.
  • Knowledge of the NIH Grants Policy Statement, RPPR, ASSIST, xTrain, eRA Commons, paper-based submission processes, and other federal systems and guidance absolutely required.
  • Detailed knowledge of Uniform Guidance and experience with grant-making policies guidance absolutely required.
  • Advanced facility with MS Office software, including Excel, Access, Word, and PowerPoint, including the ability to develop and link spreadsheets, databases and reports.
  • Position has significant writing and editing demands. Very strong English written and oral communication skills are required, with the ability to synthesize and present information clearly and succinctly.
  • Keen analytical skills; ability to identify, gather, manage, and synthesize relevant information to support data-driven decisions.
  • Demonstrated experience and knowledge of managing and supervising staff; ability to facilitate teamwork and to empower and motivate others; strong emotional intelligence.
  • Superior organizational skills: can prioritize and complete multiple simultaneous efforts with ease.
  • Able to maintain positive and service-oriented culture under stress and deadlines.
  • Flexible and able to adjust to shifting priorities in a fast-paced and dynamic work environment.

  • Experience with evaluation and applying continuous improvement methodologies preferred.

WORKING CONDITIONS/PHYSICAL DEMANDS:

Consistent with a typical office work environment. Work requires frequent typing/computer keying.  

This is a grant-funded position through April 2023 with the strong possibility of renewal.

Qualifications

EDUCATION:

  • Master’s degree required. Advanced degree in the health or biomedical sciences considered highly advantageous.

EXPERIENCE:

  • 10+ years of program or management experience in an academic research environment required; familiarity with clinical research desirable.
  • 8+ years of supervisory experience.
  • NIH grant management experience, particularly with CTSAs, considered a significant plus.

An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.
